Job Description

ADMINISTRATIVE ASSISTANT SKILLS, KNOWLEDGE, QUALIFICATIONS AND EXPERIENCE
Educational and experience requirements include: education and training in Construction is preferred. Solid computer skills and knowledge of Microsoft Office Suite are essential. Good verbal communication skills and the ability to work effectively with office and field personnel are necessary. Candidate must be able to demonstrate the ability to multi-task and perform work accurately in a fast-paced environment.
PRIMARY FUNCTION
Work diligently with Estimators, Project Managers, and Accounting staff to support daily functions including pricing solicitations, document management, and other general office responsibilities. Maintain organization within the office and help with tasks necessary to complete each job. Help to cultivate and maintain a good working relationship with our vendors to enhance the company's ability to procure future projects.
DUTIES & RESPONSIBILITIES
  • Solicit Subcontractor and Material Pricing
  • Procure, scan, archive, and reproduce plans and bidding documents
  • Represent Allen Construction, LLC at pre-bid meetings and public bid openings
  • Assist our Estimating, Project Management and Accounting Teams in daily functions
  • Perform additional assignments at supervisor's direction
  • Update the project calendar
  • Order and maintain office supplies
  • Receive and send mail daily
  • Answer phones
  • Track new tools and material
REQUIREMENTS
  • Must be able to speak clearly and effectively
  • Speak and understand English well
  • Strong written and verbal communication skills
  • Must be able to work in a fast pace, stressful environments and have friendly people skills
  • Must be able to multitask
  • Maintain current Driver's License
  • Reliable transportation
  • Proficient with Microsoft office
  • Able to learn new skills quickly and with little guidance
  • Highly organized and pays close attention to detail
