This person will help keep our office running smoothly by answering phones, assisting customers, processing payments, maintaining accurate records, and supporting our agents with daily administrative tasks. The ideal candidate is positive, energetic, detail-oriented, and comfortable working in a busy office where priorities can change throughout the day. You should enjoy helping people, take pride in completing tasks accurately, and be willing to step in wherever needed. Insurance experience is helpful but not required—we are happy to train the right person who is dependable, motivated, and eager to learn. This position also offers opportunities for professional growth, including employer-paid insurance licensing classes, study materials, and testing for qualified employees. Duties Greet customers and visitors with a friendly, welcoming, and professional attitude Answer and manage a multi-line phone system, direct calls, take detailed messages, and provide prompt assistance Accept and accurately document customer payments Assist customers with general questions and direct insurance-related requests to the appropriate licensed agent Enter and update customer and policy information using insurance agency software Maintain accurate electronic and paper files containing customer, policy, and payment information Organize, scan, file, and securely handle confidential documents Monitor emails and assist with routine client communications and follow-up tasks Help manage appointments, reminders, and office calendars Prepare, proofread, and organize correspondence and other documents Order and maintain office supplies Assist with invoicing, billing, and other basic administrative accounting duties Work closely with our agents and staff to keep the office organized and ensure customers receive timely service Assist with additional office duties and special projects as needed Requirements Previous administrative, clerical, receptionist, or customer-service experience is preferred Insurance-office experience is helpful but not required Strong computer skills, including familiarity with Microsoft Word, Excel, and Outlook Excellent telephone etiquette and verbal and written communication skills Dependable, punctual, and able to maintain a consistent work schedule Friendly and patient when assisting customers Highly organized with strong attention to detail Able to prioritize tasks and manage multiple responsibilities in a busy environment Accurate data-entry, filing, and proofreading skills Comfortable learning new computer programs and insurance procedures Able to handle customer and financial information with confidentiality, integrity, and discretion Willing to take initiative, ask questions, and work as part of a close-knit team Interested in learning about the insurance industry and pursuing an insurance license is a plus Professional Development We are committed to helping the right employee grow.
