Responsibilities Greet and assist visitors, clients, and vendors with professionalism and enthusiasm, ensuring a positive first impression. Manage multi-line phone systems, directing calls efficiently and courteously while providing accurate information. Handle data entry tasks using productivity software such as Microsoft Office, Google Workspace, spreadsheets, and word processing tools. Maintain organized filing systems, update records regularly, and ensure all documentation is accurate and accessible. Support office management activities including calendar management, appointment scheduling, and basic bookkeeping with QuickBooks or similar software. Provide excellent customer support by addressing inquiries promptly via phone or email, demonstrating strong communication skills. Perform clerical duties such as proofreading documents, managing correspondence, and assisting with administrative projects to boost overall productivity. Requirements Proven experience in office administration or front desk roles with strong clerical skills. Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and data entry platforms. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. Exceptional phone etiquette and customer service skills; experience managing multi-line phone systems is preferred. Bilingual abilities are highly desirable to serve diverse client needs effectively. Familiarity with office management software such as QuickBooks; bookkeeping experience is a plus. Demonstrated ability to handle confidential information discreetly while maintaining accuracy in recordkeeping. Prior experience in medical receptionist or personal assistant roles is advantageous but not required.
