In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Your energetic approach and attention to detail will help foster an efficient, welcoming environment where productivity thrives. This position offers an exciting opportunity to utilize a wide range of administrative skills, from managing schedules to handling client communications, all while contributing to the overall success of our organization. Key Responsibilities Include (but are not limited to) : Answer incoming telephone calls professionally and courteously. Serve as a primary point of contact for customers, insurance representatives, and vendors. Make outbound calls and maintain regular communication with customers regarding job status and scheduling and vendors regarding purchases Schedule and coordinate mold remediation, fire restoration, water mitigation, and janitorial service jobs. Verify accuracy of subcontractor invoices via CompanyCam software Utilize LEAP (formerly Job Progress) software to manage job scheduling, customer information, and project workflows, ensuring accurate and timely recordkeeping of jobs. Prepare and maintain job files, documentation, and reports. Manage email correspondence. Create, update, and maintain spreadsheets, reports, and documents using Microsoft Excel and Word as needed. Assist with general office duties, including the ordering of job materials as needed. Qualifications Previous administrative assistant, customer service, or office management experience preferred. Experience in the restoration, construction, cleaning, or property services industry is a plus. Proficiency with Microsoft Excel, Word, and Outlook is required. Experience using LEAP (formerly Job Progress) or similar job management software is strongly preferred. Excellent verbal and written communication skills. Strong organizational skills and attention to detail. Ability to multitask and prioritize assignments in an often fast-paced environment. Professional phone etiquette and customer service skills.
