The Administrative Assistant, Transportation, is responsible for the overall coordination and management of the daily activities of the Transportation Department to include the electronic preparation and processing of various reports, compilation of statistical data, and maintenance of appropriate files and budgets. The Administrative Assistant shall act as a representative of the Executive Director of Transportation and have the ability to communicate intelligently with all stakeholders and vendors regarding policies and procedures of the department.
Scope of Responsibility:
Prioritizes, screens, and distributes all telephone calls and incoming mail for the Department of Transportation. Manages the Department of Transportation including clerical activities to include the routine flow of work, correspondence, request for information, and coordination with all the departments within the unit. Schedules all appointments for the Executive Director of Transportation. Performs clerical and bookkeeping duties for Department of Transportation. Executes all timekeeping and supplemental payroll for Department of Transportation. Acquires approvals and issue budget codes for payment of all bills for the Department of Transportation. Manages and processes the budget activities of the Transportation Department. Maintains and processes student information and personnel documents related to attendance, evaluations, and related confidential matters as well as follows office procedures in order to protect privacy. Prepares all requisitions for the Department of Transportation. Answers inquiries from general public and other personnel. Provides assistance as needed to accomplish all Transportation Department functions, goals and objectives. Performs other duties as assigned by the Executive Director of Transportation.

Experience in producing letters, memos, charts, and tables using Microsoft Access, Word, Excel, Power Point & Publisher. Experience in utilizing database management programs designated by the JPPSS. High School Diploma.
Desirable Qualifications:
Computer skills Knowledge of Excel. Knowledge of Word. Graduate of Business School. Experience in general office work or public relations work.
Physical Involvement:
Must be able to operate office equipment. Standing, walking, sitting, reaching, bending, lifting up to 10 pounds is sometimes required.
