Job Description We are looking for an Administrative Assistant to support proposal coordination and day-to-day office operations in Metairie, Louisiana. This contract-to-permanent opportunity is ideal for someone who is highly organized, comfortable balancing multiple deadlines, and confident working with documents that require accuracy and consistency. The person in this role will help prepare high-quality submission materials, maintain administrative records, and provide dependable front-office support in a fast-paced environment.
Responsibilities: Oversee proposal activities from initial planning through final delivery, helping keep each submission on schedule and organized. Examine solicitation instructions and supporting documents to confirm required information, deadlines, and formatting expectations are met. Refine, proofread, and format written materials so proposals are clear, accurate, and aligned with submission standards. Track timelines, milestones, and due dates while coordinating with internal teams to gather needed content and approvals. Maintain proposal-related files, templates, resumes, and standard content to support efficient document preparation. Help ensure external materials reflect consistent company messaging, presentation quality, and brand standards. Provide administrative support such as data entry, answering inbound calls, and assisting with receptionist and general office duties. Contribute ideas that improve proposal workflows, document organization, and overall administrative efficiency. At least 2 years of experience in proposal support, administrative coordination, or a similar office-based role. Strong organizational skills with the ability to manage multiple assignments in a deadline-driven setting. Solid written communication skills, including careful proofreading and document editing ability. Proficiency with Microsoft Office applications, especially Word, Excel, and PowerPoint. Experience handling administrative assistance, data entry, and front-desk or inbound call responsibilities. Ability to work accurately with detailed instructions, submission requirements, and document formatting standards. Bachelor's degree in Business, Communications, Marketing, or related experience is preferred. Familiarity with proposal management software or content libraries is a plus.
