This position is responsible for coordinating staff schedules, processing bi-weekly payroll, maintaining aquatics programming in Daxko, scheduling private swim lessons, and serving as the primary point of communication for swim lesson participants and families. The Aquatics Coordinator plays an important role in ensuring the department operates efficiently while providing exceptional customer service and supporting the YMCA's mission of youth development, healthy living, and social responsibility. Essential Responsibilities Administrative Support Process bi-weekly payroll for Aquatics staff, ensuring accuracy and timely submission. Create and maintain schedules for lifeguards, swim instructors, and other aquatics staff. Coordinate staff schedule changes and communicate updates promptly. Maintain accurate records and department files. Program Administration Enter, update, and maintain aquatics programs, schedules, and registrations in Daxko. Coordinate private swim lesson requests by matching participants with available instructors. Monitor class enrollment and assist with program adjustments as needed. Assist with seasonal program setup and registration. Member & Family Communication Respond promptly and professionally to phone calls and emails from members and families. Communicate program updates, cancellations, weather closures, and schedule changes. Provide excellent customer service by addressing questions and resolving concerns. Department Support Assist the Aquatics Director with administrative projects and reports. Maintain confidentiality of employee and participant information. Attend department meetings as required. Perform other duties as assigned. Qualifications High school diploma or equivalent required; associate degree preferred. Previous experience processing payroll preferred. Experience creating and managing employee schedules required. Strong organizational skills and attention to detail. Excellent verbal and written communication skills. Strong customer service and interpersonal skills. Experience using Daxko or similar registration software preferred. Proficient in Microsoft Office, particularly Excel and Outlook. Ability to prioritize multiple tasks in a fast-paced environment. Ability to work independently and collaboratively. Previous aquatics experience or comfort working in an aquatic environment is a plus. Physical Requirements Ability to sit, stand, and use a computer for extended periods. Ability to occasionally lift up to 25 pounds.
