Job Description

Dartmouth Building Supply Administrative Assistant North Dartmouth, MA Apply We are seeking a dependable, detail-oriented Administrative Assistant to support office operations, HR functions, and finance departments in a fast-growing company with opportunities for professional development. This multifaceted role combines front-office tasks, office coordination, project assistance, and financial department support, including helping the Credit and Accounting teams with documentation, invoice management, account reconciliation, and recordkeeping.
Schedule:
Monday-Friday 8:00 am - 5:00 pm with 1 hour for lunch.
Hourly rate:
\$22-\$24.50/hour based on experience.
Administrative & Front Office Support:
Greet visitors and answer incoming calls professionally; direct calls and take accurate messages. Handle incoming and outgoing mail and deliveries. Maintain cleanliness and organization of the front office and breakroom. Support coordination of company meetings and events (scheduling, room setup, catering, and materials). File, scan, and organize documents for HR, Operations, and Finance. Attend safety meetings to record minutes and distribute notes.
HR & Recruitment Support:
Schedule candidate interviews and assist with applicant communications. Prepare new hire packets, employee folders (DOT and non-DOT), and welcome kits including forms, PPE, uniforms, and company swag. Coordinate new hire orientation schedules with the HR Manager. Assist with applicant screening, career fair participation, and job posting maintenance. Manage driver files and maintain tracking spreadsheets to ensure all licenses remain current and compliant.
Finance & Credit Support:
Assist the Accounting team with accounts payable and accounts receivable, including invoice preparation, distribution, and follow-up. Support the Credit team in reviewing customer accounts, preparing statements, and tracking payments. Assist with reconciliation of invoices and other accounting-related administrative tasks as needed. Provide general administrative support to the finance department, including filing and scanning.
Inventory & Office Management:
Order, stock, and organize office and breakroom supplies; maintain accurate supply records. Order, fold, and distribute employee uniforms; track uniform inventory. Maintain accurate records of all orders and invoices.
Project-Based & Event Support:
Assist with employee engagement events, appreciation activities, and training sessions. Support internal communications and process improvement projects. Assist with administrative or HR-related projects as assigned. Required Knowledge, Skills & Abilities High school diploma or equivalent required. Valid driver?s license and clean driving record. Previous administrative experience required; this is not an entry-level position. Strong organizational and multitasking skills with meticulous attention to detail. Professional verbal and written communication skills. Strong customer service skills and ability to handle challenging situations professionally. Proficiency in Microsoft Office (Excel, Word, Outlook) required. Ability to maintain confidentiality and discretion; signing a confidentiality and conduct agreement required. Employment is contingent upon successful completion of a criminal background check.
