Full Job Description Description:
We are seeking a motivated and detail-oriented Front Office Assistant to join our team at a home health aide and companion care agency. The ideal candidate will provide essential administrative support to ensure smooth daily operations, assisting various departments as needed. This position is Monday through Friday 8:00 a.m. - 2:00 p.m. The potential exists for this job to become 40 hours per week eventually.
Key responsibilities include:
Answering and directing phone calls to the appropriate staff members Receiving, sorting, and distributing daily mail and deliveries Tracking and sending out birthday, holiday, anniversary and sympathy cards Welcoming visitors to the office and assisting them as needed Filing and maintaining organized records Assisting with processing applications for hiring Assisting with setting up orientations for new employees and assisting with related processes Running CORI background checks for prospective employees Supporting hiring and scheduling interviews Keeping inventory of office supplies and ordering new materials as needing Printing and stocking office use templates and forms as required Assisting in creating staff badges for employees Supporting the HR department with filing and administrative tasks as needed Performing other clerical receptionist duties such as filing, photocopying, and faxing Assisting office staff with daily functions and other duties that may arise to ensure efficient business operations
Requirements:
Ability to establish rapport with medical professionals and clients Must be able to work well independently Excellent communication skills, both written and verbal Comfortable with computers and the ability to learn and operate scheduling and training software systems. Strong problem-solving skills, able to work under time pressure and handle multiple tasks while remaining composed Enjoy speaking on the phone, shows an interest in learning about clients' unique needs, and demonstrates compassion and empathy toward clients and caregivers Bilingual proficiency in Spanish mandatory.
