Job Description

The Administrative and Bookkeeping Coordinator provides administrative, reception, and basic financial support to Norfolk Advocates for Children (NAC). This position serves as a consistent daytime resource for staff, visitors, vendors, and community partners and works collaboratively with NAC leadership and the organization's part-time bookkeeper to support timely, accurate financial and administrative operations. Administrative and Office Support Provide general administrative and office support, including answering telephones, copying, scanning, organizing and maintaining documents, processing mail, and assisting with routine correspondence. Monitor office supplies and assist with purchasing and inventory as needed. Support the organization and maintenance of administrative and financial records. Assist staff with scheduling, document preparation, data entry, and other administrative needs. Complete assignments in a timely, accurate, and efficient manner. Bookkeeping and Financial Support Work collaboratively with NAC leadership and the organization's part-time bookkeeper to support routine bookkeeping and financial functions. Receive, organize, and process invoices and other payment documentation. Maintain a calendar or tracking system for recurring expenses, invoice due dates, and other financial deadlines. Assist with accounts payable, check processing, deposits, transaction entry, and account reconciliations, as assigned. Maintain complete and accurate financial records. Communicate with vendors and staff regarding routine invoice, payment, and documentation questions. Assist with gathering and organizing financial documentation for audits, grant reporting, budgeting, and other organizational needs. Provide continuity and backup support for routine financial functions during staff absences or periods of limited availability. Promptly identify overdue invoices, discrepancies, missing documentation, or other financial concerns for NAC leadership. Reception and Visitor Support Provide regular coverage of the front desk and reception area. Greet children, families, visitors, community partners, and employees in a professional, courteous, and welcoming manner. Answer and direct telephone calls and take clear, accurate messages. Notify appropriate staff when visitors arrive and assist with routine visitor needs. Maintain the privacy and confidentiality of children, families, and organizational information. Events and Other Responsibilities Assist the Community Outreach Director with event planning, preparation, and logistical support as needed. Attend required organizational training and other training relevant to the position. Perform other related duties as assigned. Prior administrative, bookkeeping, accounting support, or comparable professional experience. Knowledge of basic bookkeeping and accounting principles. Experience using accounting or financial-management software. Proficiency with Microsoft Office, including Word, Excel, and Outlook. Strong organizational skills and attention to detail. Ability to manage multiple responsibilities, establish priorities, and meet deadlines. Strong written and verbal communication skills. Ability to work independently and collaboratively as part of a team. Professionalism, sound judgment, reliability, and discretion. Ability to handle sensitive and confidential information appropriately. Availability to work a consistent schedule during regular weekday business hours. Associate degree, bachelor's degree, bookkeeping certificate, or equivalent combination of education and relevant experience. Experience with QuickBooks. Experience working in a nonprofit, human-services, legal, public-service, or professional office environment. Customer-service or reception experience. Experience assisting with events, purchasing, grant documentation, or general office operations. Approximately 15-20 hours per week. The position will primarily be scheduled during regular weekday business hours. A consistent schedule will be established at the time of hire based on organizational needs.
Hourly compensation:
$24-$32 per hour, commensurate with experience. This is primarily an in-person position based in Foxborough, Massachusetts. Occasional local travel to organizational, court, or partner locations may be required. Reliable transportation is necessary.
Pay:
$24.00 - $32.00 per hour Expected hours: 15.0 - 20.0 per week
