Job Description
Community Association Administrative Assistant Are you highly organized, detail-oriented, and skilled at managing multiple priorities in a fast-paced office environment? A well-established condominium management company is seeking a full-time Community Association Administrative Assistant to support the day-to-day operations of a portfolio of condominium associations. This position plays a key role in helping Property Managers, Board Members, homeowners, and vendors stay informed, organized, and on track. This is an excellent opportunity for an experienced administrative professional who enjoys coordinating projects, maintaining accurate records, communicating with a variety of stakeholders, and supporting multiple condominium communities. You will work closely with Property Managers and regularly interact with Board Members, homeowners, contractors, and service providers. Success in this role requires strong organizational skills, excellent communication, attention to detail, and the ability to adapt as priorities change. What We're Looking For Minimum 3 years of administrative, office, or coordination experience Strong organizational, time management, and follow-through skills Excellent written and verbal communication abilities Ability to manage multiple projects, deadlines, and competing priorities Professional customer service skills and sound judgment Ability to work independently and take initiative Strong attention to detail and accuracy Proficiency in Microsoft Outlook, Word, and Excel Experience supporting condominium associations, homeowner associations (HOAs), community associations, or Board-governed communities strongly preferred What You'll Do Serve as a primary administrative support contact for multiple condominium associations Communicate with Board Members, homeowners, contractors, and vendors Prepare and distribute community notices, correspondence, and announcements Coordinate maintenance requests, repairs, and vendor service calls Track projects, work orders, and follow-up items through completion Obtain and organize contractor proposals, bids, and supporting documentation Assist with Board meeting preparation, meeting materials, and association communications Maintain association records, governing documents, and community files Monitor deadlines and help ensure timely completion of community projects and initiatives Support Property Managers with the administrative needs of a portfolio of condominium communities The Ideal Candidate The ideal candidate is a strong administrator who enjoys organization, communication, and problem-solving. They thrive in a dynamic environment, can manage multiple communities and priorities simultaneously, and take ownership of their work from start to finish.
