•Clerical The Special Education Secretary provides administrative and clerical support to the Special Education Department.



The position requires strong organizational skills, attention to detail, confidentiality, and effective communication with students, families, staff, and administrators.

Essential Responsibilities

Support the Director of Student Support and Director of Special Education & Student Services. Support Special Ed Coordinator in supporting students living at Devereaux

•registration, transportation, records and tracking, coordination of transportation.

Maintain accurate, organized, and confidential special education student records in accordance with district, state, and federal requirements.

Specialized transportation (OOD), including (MV and Foster).

Retrieving records for students who move in (transcripts, IEP records).

LEA clarification.

IDT documentation.

Homeschool tracking and communication.

Communicate with families, staff, and service providers regarding meeting dates, times, locations, and required documentation.

Assist with monitoring IEP meeting schedules and compliance timelines to ensure required meetings and actions occur within mandated timeframes.

Enter, update, and maintain student information in relevant district databases and student information systems.

Answer and direct telephone calls, respond to routine inquiries, and provide information to families and staff as appropriate.

Assist with correspondence, notices, forms, and other special education documentation.

Maintain confidentiality of student, family, and personnel information at all times.

Establish and maintain effective working relationships with students, parents/guardians, teachers, related service providers, administrators, and outside agencies.

Perform other related duties and assignments as directed by the supervisor.

Qualifications and Skills

High school diploma or equivalent; additional administrative or educational experience preferred.

Experience working in a school or special education setting preferred.

Strong organizational and time-management skills.

Excellent attention to detail and ability to manage multiple deadlines.

Strong written and verbal communication skills.

Ability to maintain confidentiality and handle sensitive student information appropriately.

Proficiency with standard office technology, databases, email, and scheduling systems.

Ability to work independently while also functioning effectively as part of a collaborative department.

Knowledge of special education terminology, IEP processes, and Massachusetts special education requirements preferred.
