Job Description

Position Overview A private household in Manchester-by-the-Sea is seeking an experienced, highly organized, and discreet Household & Estate Manager / Personal Assistant to oversee the day-to-day operation, care, and organization of the principal's primary residence. The position will also provide seasonal oversight and support for a summer residence in Western Maine. This is a hands-on role for a proactive, service-oriented professional who takes pride in maintaining a well-run, comfortable, and welcoming home. The successful candidate will anticipate household needs, manage competing priorities, coordinate vendors and contractors, and provide thoughtful personal and administrative support. The position requires exceptional judgment, reliability, attention to detail, flexibility, resourcefulness, and complete discretion. It is best suited to someone who is equally comfortable managing household operations, coordinating service providers, handling personal errands, caring for pets, and assisting directly with routine household responsibilities. Primary Responsibilities Household and Estate Management Oversee the daily operation, care, and organization of the Manchester-by-the-Sea residence. Assist with the seasonal opening, operation, maintenance, and closing of the summer residence in Western Maine. Maintain household schedules, service calendars, maintenance records, vendor information, and project lists. Regularly assess the residences for maintenance and repair needs and ensure that issues are addressed promptly and appropriately. Schedule, coordinate, and oversee household contractors and service providers, including: Landscapers and gardeners Irrigation contractors Swimming pool maintenance providers Water garden and koi pond specialists Plumbers, electricians, painters, and other tradespeople Cleaning, repair, and general maintenance professionals Coordinate household deliveries, service appointments, and vendor visits. Monitor projects and services to ensure that work is completed properly, on schedule, and in accordance with expectations. Maintain appropriate inventories of groceries, household supplies, and frequently used items. Ensure that the residences remain consistently orderly, comfortable, well-maintained, and guest-ready. Personal Assistance and Administrative Support Perform grocery shopping, household shopping, and other personal errands. Assist with meal planning and the preparation of routine meals. Coordinate personal and household gift selection, purchasing, wrapping, and delivery. Schedule automobile maintenance, inspections, detailing, and annual registration renewals. Assist with personal administrative matters and other household-related tasks as requested. Work closely and collaboratively with the principal's corporate executive assistants to coordinate schedules, appointments, deliveries, travel-related matters, and other personal or professional needs. Maintain organized records of household expenses, receipts, vendor invoices, appointments, maintenance activities, and ongoing projects. Handle all personal, household, financial, and business information with the highest degree of confidentiality. Pet Care Assist with the daily care of the household's dogs, including regular dog walking. Coordinate veterinary, grooming, boarding, and other pet-care appointments. Provide or arrange appropriate pet care during periods of travel, household events, or other activities. Monitor and replenish pet food, medications, and other pet-care supplies as needed. Entertaining and Seasonal Support Assist with the planning, coordination, and execution of dinners, parties, family gatherings, and other household events. Coordinate caterers, rental companies, florists, service staff, and other event vendors. Prepare the residence for guests and help ensure that gatherings and events run smoothly. Arrange for the staging, installation, organization, removal, and storage of holiday and seasonal decorations. Provide occasional house-sitting support when the principal is traveling. Hands-On Household Support Perform light housekeeping and occasional light cleaning as needed. Handle light laundry and routine household organization. Maintain orderly closets, pantries, storage areas, and household inventories. Willingly address routine tasks—large or small—that contribute to the smooth operation of the household. The duties and responsibilities of the position may evolve as the household's needs change. Qualifications The ideal candidate will have: Prior experience as an estate manager, household manager, personal assistant, executive assistant, hospitality professional, property manager, or in a comparable service-oriented position. Exceptional organizational, planning, and time-management skills. The ability to manage multiple assignments, vendors, appointments, projects, and deadlines simultaneously. A proactive approach and a demonstrated ability to anticipate needs before they become urgent. Excellent judgment, professionalism, discretion, and problem-solving ability. Strong written and verbal communication skills. A calm, courteous, and service-oriented manner. A meticulous eye for detail and consistently high standards for household care. The ability to work independently while communicating regularly and effectively with the principal and the principal's executive assistants. Comfort working around and assisting with the care of multiple dogs. Experience with basic meal planning and preparation. Proficiency with email, electronic calendars, text messaging, online ordering, and basic household recordkeeping. A valid driver's license, a safe driving record, and reliable transportation. Flexibility to assist outside customary working hours when household events, travel, emergencies, or other circumstances require it. The ability to travel occasionally to the summer residence in Western Maine. Experience working in a private residence or supporting a senior executive is strongly preferred. Personal Qualities The successful candidate will be: Completely trustworthy and discreet Dependable, punctual, and accountable Proactive, resourceful, and solutions-oriented Warm, respectful, and professional Flexible and willing to assist wherever needed Comfortable working in a private, family-oriented environment Capable of maintaining appropriate professional boundaries Committed to protecting the privacy of the principal, family members, guests, employees, and business associates Compensation and Benefits Annual base salary: $70,000 to $80,000, paid biweekly Performance bonus: Eligibility for a discretionary annual performance bonus of up to 15% of base salary Paid vacation: Up to 20 days annually Paid sick leave: 40 hours annually, subject to applicable policies and law Expense reimbursement: Reimbursement for reasonable and approved household, business, and travel-related expenses upon submission of appropriate supporting documentation Final compensation will be commensurate with the successful candidate's experience and qualifications. Confidentiality This position involves access to sensitive personal, household, financial, and business information. The Household & Estate Manager / Personal Assistant will be expected to maintain complete confidentiality during and after employment and to safeguard all private and proprietary information from unauthorized access, use, or disclosure.
