Duties Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently using professional phone etiquette Provide exceptional customer support by assisting visitors, clients, and team members with their needs at the front desk Organize and maintain filing systems, both digital and paper-based, ensuring easy retrieval of documents Perform data entry tasks accurately using spreadsheets and productivity software such as Microsoft Office programs including Word and Excel Assist with calendar management and scheduling appointments for staff and executives to optimize time utilization Support office management tasks such as ordering supplies, maintaining inventory, and coordinating maintenance requests Utilize QuickBooks for basic bookkeeping functions including invoice processing and expense tracking Skills Proven experience with office management, clerical duties, and administrative support in a fast-paced environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently Bilingual abilities are highly valued to enhance communication with diverse clients and team members Technical proficiency in using multi-line phone systems, office equipment, and productivity software Exceptional communication skills—both verbal and written—to facilitate clear client interaction and internal correspondence Attention to detail for proofreading documents, managing files, and ensuring accuracy in all administrative tasks Join us to be a key player in maintaining an organized, efficient office that supports our team's success!
