About the Position We are a busy, fast-paced CPA firm looking for a reliable, organized, and professional Administrative Assistant to join our team. The ideal candidate is someone who enjoys staying busy, can manage multiple priorities at once, and takes pride in providing excellent client service. This position is an important part of our daily operations and will work closely with our accountants, tax professionals, and clients. Responsibilities Answer and direct incoming phone calls in a professional and friendly manner Greet clients and provide excellent customer service Respond to emails and client inquiries Schedule appointments and manage calendars Receive, organize, scan, copy, and distribute client tax and accounting documents Track incoming and outstanding client information Follow up with clients regarding missing documents and information Assist with tax return workflow and administrative tasks Prepare documents, letters, and correspondence Maintain organized electronic and paper files Enter and update client information in firm systems Process incoming and outgoing mail Assist accountants and tax professionals with administrative needs Help keep the office organized and running efficiently Perform other administrative duties as needed Qualifications Previous administrative, office, or customer service experience preferred Experience in a CPA, accounting, financial services, or professional office is a plus Excellent organizational and time-management skills Strong attention to detail Excellent written and verbal communication skills Ability to handle confidential information professionally Comfortable working in a fast-paced environment Ability to multitask and prioritize competing deadlines Proficient with Microsoft Office, including Word and Excel Comfortable learning new software and technology Professional, dependable, and positive attitude Strong follow-through and ability to work independently We are looking for someone who is: Organized and detail-oriented Reliable and dependable Friendly and professional with clients Comfortable working under pressure Able to multitask without losing attention to detail A team player who is willing to help wherever needed Proactive and able to anticipate what needs to be done Comfortable working in a deadline-driven environment CPA firm experience is not required but is preferred. We are willing to train someone who has the right attitude, strong organizational skills, and the ability to learn quickly.
