We provide person-centered home care rooted in integrity, personal relationships, and quality service. Our mission is to help every client live with dignity in the place they call home. About the Role Touching Angels Healthcare is hiring an Administrative Assistant to anchor our front office in Ellicott City. The Administrative Assistant is the first point of contact for our clients, caregivers, referral partners, and visitors. You will own the day-to-day operation of our reception function, maintain accurate records across our operational systems, and provide administrative support across our Operations, Intake, Care Coordination, and Human Resources departments. This is a detail-driven role in a regulated healthcare environment. The records you maintain are subject to state review, so accuracy and confidentiality matter every single day. This position is also the entry point into our Administrative Track, a defined three-level career path with published advancement criteria. What You Will Do Front Desk and Communications (25%) Answer, screen, and route calls on a multi-line phone system Greet and direct clients, caregivers, vendors, and visitors Monitor the general agency inbox and route correspondence daily Process incoming and outgoing mail, faxes, and scanned documents Maintain reception area presentation and supply levels Client and Caregiver Service Support (20%) Complete scheduled follow-up care calls and caregiver check-in calls Update client and caregiver contact information across all systems Log routine inquiries and escalate clinical and scheduling matters to Care Coordination Systems Data Entry and Records (15%) Enter and categorize call logs with accurate tagging and detailed notes Upload clinical and eligibility documentation to the correct record Maintain data accuracy across our operational platforms Scan and file documents in accordance with our records retention schedule Document Control and Compliance Support (15%) Prepare, assemble, and distribute administrative document packets Track onboarding and compliance documentation completion status Prepare documents for electronic signature and monitor completion Manual Time Request Processing (15%) Process and submit Manual Time Requests (MTRs) in the Maryland LTSS system as a primary and recurring responsibility of this role Compile and verify the source records supporting each MTR before the request is advanced Submit prepared MTRs in LTSS within the established timeframe, only where a verified source record supports the service time claimed Confirm the service was preauthorized in the participant plan of service before submitting, and escalate rather than submit if it was not Escalate any MTR where the source record is missing, incomplete, or inconsistent rather than submitting the request Maintain a record of each MTR prepared and submitted, the supporting documentation relied upon, and the submission outcome Cross-Departmental Administrative Support (10%) Receive completed clinical assessments from RN Case Managers and perform an administrative completeness review before accepting them Verify required signature, credential designation, date, completion of all required sections, legibility, and consistent client identifiers This review is administrative only and does not extend to clinical content, assessment findings, or clinical judgment Record documented acknowledgment of receipt for each accepted assessment Return any assessment with a missing signature, missing or incorrect date, incomplete section, or illegible entry to the submitting RN with the specific deficiency identified Escalate assessments not corrected within the established timeframe to the Operations Manager Provide scheduling and meeting coordination support Order and track office supplies Provide administrative backup coverage during planned absences What We Are Looking For Required High school diploma or equivalent Minimum one (1) year of administrative, receptionist, or customer service experience in a professional office environment Proficiency with Microsoft 365, including Outlook, Word, Excel, and Teams Accurate data entry with strong attention to detail Professional verbal and written communication skills Ability to maintain strict confidentiality Satisfactory Maryland CJIS criminal background check clearance prior to start date Clearance against the HHS-OIG List of Excluded Individuals and Entities Legally authorized to work in the United States Ability to review documents for completeness, signatures, and dates without interpreting clinical content Willingness to complete agency training on Manual Time Request (MTR) preparation and serve as backup capacity for that function Preferred Prior experience in home care, home health, or another healthcare setting Experience reviewing or processing clinical documentation for completeness Familiarity with AxisCare, Paychex, Relias, Egnyte, LTSS, or comparable platforms Working knowledge of HIPAA privacy requirements Experience supporting a multi-department office Bilingual capability Important to Know This is an onsite position. Touching Angels Healthcare does not offer remote or hybrid arrangements for this role. Employment is contingent on satisfactory completion of a Maryland CJIS criminal background check and all pre-employment requirements. All required training must be completed within seven (7) days of your confirmed start date. $42,000.00 - $52,000.00 per year
