Job Description

"A day in the life" of a Administrative Assistant at CASA The Administrative Assistant of a domestic violence office serves as the first point of contact for survivors, staff, community partners, and visitors. Each day includes answering phones, greeting clients, directing calls, scheduling appointments, and providing information while maintaining strict confidentiality. The Administrative Assistance supports advocates and other staff by organizing paperwork, maintaining accurate records, and assisting with daily administrative needs. They interact with survivors in a compassionate, respectful, and trauma-informed manner while helping ensure that each person feels welcomed and safe. Through professionalism, organization, and attention to detail, the Administrative Assistant helps the office operate smoothly and ensures survivors can quickly connect with the services and support they need.
General Qualifications:
  • High School diploma or GED equivalent plus two years' experience working in a professional office setting.
  • Experience working in a fast-paced setting and ability to multi-task.
  • Ability to effectively communicate ideas orally and in writing.
  • Computer proficiency includes Microsoft Office applications, Outlook, Word, Excel, Teams.
  • Knowledge of community resources.
  • Demonstrated ability to establish a professional relationship with clients and community representatives.
  • Access to private automobile if use of own auto, valid driver's license, and auto insurance.
  • Ability to schedule working hours to coincide with CASA work priorities.
  • Successfully obtain and maintain all required clearances during employment.
Major Responsibilities:
1. Maintain files and paperwork as needed. 2. Greet all individuals entering our facility in a courteous and professional manner. 3. Facilitate management of the office area and waiting room to always present a professional setting. 4. Answer the phone system and distribute calls as they come into the office line and hotline and ensure that when individuals are not available, they are directed to the appropriate voicemail. 5. Provide information and resources to incoming callers looking for general information and referral. 6. Process and write all correspondence with donors including thank you letters, etc. and keep a detailed record of these donors (including all fundraisers). 7. Order and distribute supplies as needed. Consult with the Director of Community Services and/or Executive Director as needed to place orders. 8. Assist the Director of Community Service and Assistant Director as it relates to building maintenance, supply delivery, donation drop-off, etc. 9. Maintain the Apricot database as it relates to statistical information and specific reports as assigned. 10. Provide reports/statistical information in a timely manner so all reporting can be completed by predetermined deadlines. 11. Attend staff meetings and all other meetings as requested by your supervisor. Take notes and provide the minutes for staff meetings to the Assistant Director 12. Any other duties as assigned.
Additional Responsibilities:
  • Complete both the domestic violence training (MNADV) and sexual assault training (MCASA).
  • Participate in relevant training, conferences, and seminars with the approval and/or direction of your supervisor.
  • Cooperate as a team member with other staff members, board members, and volunteers to promote the best interest of CASA and its' service to the community.
  • Uphold all CASA policies, procedures, and confidentiality.
  • Assume additional responsibilities as delegated by supervisor.
Hours- 35 hours maximum or as scheduled by supervisor (work must be completed during working hours)
Pay:
$19.00 - $21.00 per hour Expected hours: 35.0 per week
