Job Description
Advancement Administrative Assistant Reporting to the Head of School, The Calverton School in Huntingtown, Maryland is seeking a full-time Advancement Administrative Assistant for the 2026-27 school year. The Advancement Administrative Assistant serves as the welcoming face of Calverton School, located at the front desk in Founder's Hall. This role is integral in supporting the Head of School and the Admissions and Advancement Offices. The Administrative Assistant manages school-wide communications, facilitates office functions and hospitality, and assists with various administrative tasks. Key responsibilities include welcoming and directing visitors and prospective families, handling phone calls, and supporting events and tours. Responsibilities and Essential Functions Serve as the primary receptionist, greeting and directing all visitors and prospective families with warmth and professionalism. Manage and direct incoming phone calls, ensuring clear communication and excellent customer service. Oversee entrance security by verifying visitors before granting access. Accept deliveries, sort mail, and maintain organization of the office and common areas. Order and maintain office supplies to support smooth daily operations. Assist the Head of School with correspondence, including drafting letters to parents, creating flyers, permission slips, and school announcements. Support Admissions, Advancement, and Marketing efforts, including event planning and logistics for open houses and school events.

Scope & Impact:
This position encounters recurring tasks that require the ability to juggle multiple priorities with frequent interruptions. While the role follows established procedures, adaptability and proactive problem-solving are important. The Advancement Administrative Assistant operates with moderate supervision and contributes significantly to the school's daily operations and community experience. The responsibilities listed above may not include all duties performed by this position. Employees are expected to assist as and where needed.
Interpersonal Interactions:
•Regular interactions with students, parents, faculty, staff, and vendors, both within and outside the organization. Communication occurs in-person, via phone, email, and written correspondence. High level of discretion required as contacts often involve confidential or sensitive information.
Qualifications:
Strong administrative and organizational skills, with attention to detail. Proficiency with Microsoft Office Suite; experience with modern office technology and practices. Excellent communication and interpersonal skills, with a focus on diplomacy and confidentiality. Ability to multitask effectively, especially in a dynamic environment with frequent interruptions. High School diploma required; some college coursework preferred. 1-2 years of experience in an office setting preferred; experience working with children and families is a plus.
Physical & Mental Requirements:
Ability to remain seated for extended periods while working at a computer Capacity to manage repetitive hand/wrist motions and multitask between diverse responsibilities. Requires decision-making and prioritization of task, with guidance available as needed.
Work Conditions:
Standard work hours with occasional extended hours to support special events or deadlines. Role is based in a welcoming school environment, centered around community engagement and support.
