Job Description

The Administrative Assistant will support daily program operations, student attendance, records management, staff communication, family check-in, supply coordination, and dismissal procedures. This position requires someone who is comfortable working in a busy elementary-school environment and managing confidential information.
Position Details Location:
Indian Head, MD 20640 Work setting: In person Program period: October 26, 2026-June 30, 2027 Regular schedule: Monday-Wednesday, generally 3:30-6:30 p.m.

$25 per approved and documented service hour
Classification:
Part-time independent contractor Position Summary This individual will work closely with the Program Site Coordinator and program leadership to maintain accurate records, support staff and families, monitor required documentation, and assist with daily program logistics. Primary Responsibilities Assist with daily student and staff check-in and check-out. Maintain accurate attendance, sign-in, sign-out, and dismissal records. Confirm authorized student pickup information and follow established dismissal procedures. Assist with student arrival, transitions, supervision, and dismissal. Organize and maintain program forms, records, schedules, and administrative documents. Monitor whether required forms and documentation have been submitted. Support the Program Site Coordinator with attendance reports, incident documentation, and weekly reporting. Help prepare staff rosters, student lists, classroom assignments, and daily schedules. Communicate schedule changes, reminders, and approved announcements to staff. Support family check-in during orientations, meetings, and program activities. Direct family questions to the appropriate program representative. Ensure that family communication occurs through approved shared communication channels. Assist with copying, printing, assembling, and distributing program materials. Track classroom and office supplies and submit requests through the approved process. Help maintain organized shared spaces and secure confidential records. Assist with meal, snack, material, and resource distribution as needed. Support required safety procedures and immediately report concerns to the Program Site Coordinator. Maintain confidentiality and comply with FERPA and all student-information protections. Record approved service hours through Jibble or another JOA-approved system. Submit accurate monthly invoices according to the established payment schedule. Perform other approved administrative duties directly related to ELEVATE operations. Required Qualifications High school diploma or equivalent. Previous administrative, school, youth-program, office, or customer-service experience. Strong organizational and time-management skills. Ability to maintain accurate records and follow detailed procedures. Strong written and verbal communication skills. Ability to communicate professionally with students, families, school personnel, contractors, and community partners. Ability to protect confidential student, family, personnel, and program information. Comfort using email, Google Workspace, shared calendars, spreadsheets, and electronic timekeeping systems. Ability to remain calm and organized in a fast-paced environment. Dependability and consistent availability during assigned program hours. Successful completion or verification of all required fingerprinting, background-clearance, badging, and onboarding requirements before beginning service. Preferred Qualifications Experience working in an elementary school, after-school program, nonprofit organization, or youth-development setting. Experience maintaining attendance, enrollment, or student records. Familiarity with Google Drive, Google Docs, Google Sheets, and Google Calendar. Experience assisting with family engagement or front-office operations. Bilingual English-Spanish communication skills are strongly preferred. Professional and Confidentiality Expectations The Administrative Assistant will have access to sensitive student, family, personnel, and program information. All information must be protected and used only for authorized ELEVATE purposes.
The contractor must:
Follow FERPA and all applicable confidentiality requirements. Use only JOA-approved systems and communication channels. Avoid private or unapproved communication with students and families. Never store protected student or family information on a personal device. Return all JOA-issued equipment, records, keys, and materials in working order at the end of the assignment. Refer contractual, financial, personnel, and sensitive family matters to authorized program leadership.
