No extensive prior office experience is required; we are fully prepared to invest in training the right candidate. This role provides a foundational step into professional business administration, offering direct exposure to corporate workflows, digital database tools, and customer relations. Responsibilities:
Front Desk & Reception:
Greet arriving clients, visitors, and vendors with a professional demeanor.Office Maintenance:
Serve as the main point of contact for building office management, maintenance, and facilities issuesMail, Distribution & Shipping:
Sort, date-stamp, and distribute incoming mail and packages. Manage outgoing mailings, shipping labels, and couriers. Support offsite warehouse inventory control.Office Supply Coordination:
Monitor inventory levels of workplace essentials, company swag and kitchen supplies. Coordinate replenishment orders as needed.Scheduling Support:
Assist with booking conference rooms, maintaining shared calendars, and scheduling routine appointments. Company travel arrangements for staff.Office event organization and planning such as company picnics, charity events and holiday functions.
Human Resource:
Employee support not limited to but to include employee onboarding, open enrollment, first level response to company policy questions and regional office support needs.Certification Assistance:
Provide support for annual industry recertifications and audits i.e. CMMI and ISO.General Clerical Assistance:
Operate standard office hardware (photocopiers, high-speed scanners, printers). Assist senior staff with special, ad-hoc administrative projects.Social Media:
Experience creating and posting content on company social media channels (LinkedIn) to boost visibility and engagement of the company.Finance:
Basic bookkeeping/finance skills, including familiarity with QuickBooks (or similar accounting software) for invoicing, expense tracking etc.Qualifications:
Trainability & Aptitude:
Active listening; rapid adoption of new software tools; willingness to take constructive feedback.Reliability & Punctuality:
Consistent attendance, strong time-management skills completion of tasks by stated deadlines. Attention toDetail:
Highly accurate data entry, ability to catch formatting or spelling errors.Communication Style:
Polite, clear verbal and written exchange via email and phone.Education:
High school diploma, associate's degree, or equivalent required.Technical Skills:
Candidates must be comfortable using personal computers, navigating the internet, and communicating professionally by email. Working of Microsoft Office Suite, including Word, Excel, and Outlook, is required.Soft Skills:
