The Position We are seeking a highly organized and customer-focused Administrative Assistant to support our property management team in our Potomac, Maryland office. This is an on-site, in-person position that serves as the first point of contact for tenants, vendors, and visitors while providing essential administrative and operational support to ensure the office runs efficiently. The ideal candidate is professional, detail-oriented, comfortable managing multiple priorities, and enjoys working in a collaborative office environment.
What You'll Do:
Serve as the first point of contact for the property management office by welcoming visitors, assisting tenants and vendors, and providing professional customer service. Provide daily administrative support, including scheduling, document preparation, office coordination, and maintaining organized records. Coordinate building service requests, monitor maintenance inquiries, and assist with follow-up to ensure timely resolution. Review, code, and process invoices and assist with resolving invoice discrepancies. Maintain tenant and vendor records, including Certificates of Insurance, contracts, and related documentation. Support property management operations through tracking reports, renewals, work orders, and tenant-related administrative processes. Assist with special projects and other administrative tasks to support the efficiency of the property management team. What We're Looking For Minimum of 2 years of administrative experience. Strong organizational skills and attention to detail. Excellent written and verbal communication skills. Ability to manage multiple priorities and meet deadlines. Proficiency with Microsoft Office Suite (Word, Excel, Outlook). Ability to learn new systems and processes quickly. Experience with commercial real estate, property management, Yardi, or similar software is a plus.

Pay:
$25.00 - $27.00 per hour
