Job Description

Job Summary Infinity Health Care Services is seeking a dependable, organized, and proactive Administrative Assistant to support the daily operations of our healthcare staffing agency. The ideal candidate will have strong administrative and customer service skills, excellent communication abilities, and the ability to think quickly and solve problems in a fast-paced environment . This position requires someone who can manage multiple responsibilities, communicate effectively with staff and clients, and follow through on tasks with minimal supervision. Responsibilities Answer and manage incoming phone calls, emails, and employee/client inquiries in a professional and courteous manner. Assist with the daily scheduling of healthcare staff based on client needs and employee availability. Contact available employees to fill open shifts, call-outs, and last-minute staffing needs. Monitor employee clock-in and clock-out activity to ensure staff report to assignments as scheduled. Follow up promptly with employees who are late, have not clocked in, or have missed a scheduled shift. Communicate with clients regarding staffing changes, delays, call-outs, and coverage when necessary. Maintain accurate schedules, employee information, attendance records, and other administrative documentation. Perform data entry and maintain organized electronic and physical files. Assist with employee onboarding and collection of required employment documents. Monitor employee certifications and other required documentation and notify appropriate personnel of upcoming expirations. Greet visitors and provide front-desk support when necessary. Prepare correspondence, reports, spreadsheets, and other office documents. Assist with filing, scanning, copying, and general office organization. Maintain confidentiality of employee and client information. Communicate important staffing, attendance, or client concerns to management promptly. Assist with other administrative and office duties as assigned. Qualifications Previous administrative or clerical experience is strongly preferred. Previous experience in healthcare, home care, staffing, scheduling, or a similar environment is an advantage. CNA/GNA certification or previous direct-care experience is an added advantage. Proficiency in Microsoft Office, including Word, Excel, and Outlook . Experience with scheduling, timekeeping, electronic records, or payroll systems is preferred. QuickBooks experience is a plus. Strong verbal and written communication skills. Excellent organizational and time-management skills. Strong attention to detail and ability to maintain accurate records. Ability to multitask and prioritize responsibilities in a busy office environment. Ability to think on your feet and respond appropriately to unexpected situations . Strong problem-solving skills and ability to take initiative. Professional and courteous when dealing with clients, employees, and visitors. Dependable, punctual, and able to work with minimal supervision. Ability to maintain confidentiality and handle sensitive information appropriately. The successful candidate should be comfortable making calls, following up with employees, handling scheduling changes, addressing routine problems, and knowing when an issue needs to be escalated to management.
