Job Summary We are seeking a dynamic and highly organized Construction Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our construction projects, providing essential administrative support to ensure smooth operations from project initiation to completion. Your energetic approach and attention to detail will help keep our projects on track, foster excellent communication with clients and vendors, and maintain a professional office environment. This position offers an exciting opportunity for someone with strong office management skills, a passion for construction, and a desire to contribute to impactful projects. Responsibilities Handle all aspects of office management, including filing, data entry, and maintaining organized records of project documentation and confidential information. Support bookkeeping activities using accounting software, including invoicing, expense tracking, and financial record keeping. Coordinate calendar management and scheduling for project meetings, site visits, and client appointments while ensuring timely reminders and follow-up. Assist with client communication by preparing correspondence, proofreading documents, and supporting customer service efforts. Maintain office supplies inventory and oversee general clerical tasks such as photocopying, faxing, and document proofreading. Support personal assistant duties when needed, including organizing travel arrangements or managing special projects related to construction operations. Qualifications Proven experience in office management or administrative roles within the construction industry or related fields. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and data entry skills. Familiarity with bookkeeping software is highly desirable. Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Exceptional communication skills—both verbal and written—with a professional phone manner and customer service orientation. Ability to handle confidential information discreetly while maintaining accuracy in documentation. Prior experience with clerical tasks such as filing, proofreading, calendar management, and time management is preferred.
