We're seeking an experienced Administrative Assistant to deliver friendly, efficient client service while supporting the daily operations of our office. We offer a collaborative team, a fun work environment, and plenty of autonomy to do your best work. Responsibilities Professionally answer phones, taking/delivering messages to appropriate parties. Schedules and confirms meetings; coordinates multiple team member's calendars. Is the cornerstone of the office's physical space, ensuring cleanliness, tidiness, and organization. Handles the purchasing of office supplies, making sure items are well stocked. Greets office visitors. Assists with the preparation of client meetings by preparing reports and ancillary materials. Coordinates marketing and administrative mass mailings to ensure materials are delivered to clients in a timely manner. Processes incoming and outgoing mail; ensuring that checks are recorded in our systems, deposited to the applicable client's account and coded correctly at the custodian. Handles general clerical duties, including but not limited to filing, photocopying, shredding, and ensuring that all physical as well as digitally delivered documents get saved to the firm's digital storage system. Assists with the initial input as well as maintenance of client data in the CRM as well as across various other software and platforms in a timely manner. Work with clients to help them get established with various software or apps and assist clients with these systems on an ongoing basis. Prepares paperwork for, and coordinates the opening of various account types across multiple custodians and various workflows. Follows up with clients and custodians to ensure completion, troubleshoot issues, collect and then provide missing information, etc.
Assists clients with:
contribution and distribution requests, account maintenance, dissemination of tax documents to clients and their requested third-parties, account closure. Requirements Highly service-oriented and professional, strong written and verbal communication skills and the ability to communicate independently with clients, colleagues, and outside professionals. Ability to work compassionately with clients and beneficiaries across a range of personalities and emotional situations, including illness and loss. Quick learner, able to pick up new software and systems efficiently.
Self starter:
Excellent organizational, multitasking, and time-management abilities. Comfortable working in a small office environment, both independently and as part of a team. Comfortable working around dogs. Able to lift up to 30 pounds. High school diploma required; additional education a plus. 3+ years of customer service or office experience. Prior experience in financial services or a related industry preferred.
Pay:
From $25.00 per hour Expected hours: 40.0 per week
