Job Description
Come join the dynamic team of providers and staff at Blue Sky Counseling , dedicated to delivering compassionate, high-quality substance use services across the state of Maine. Blue Sky Counseling is seeking a full-time Administrative Assistant to support daily operations across all locations based out of offices that include Waterville, Skowhegan and Bangor locations. This role is essential to ensuring smooth access to care and serves as the first point of contact for individuals seeking services, families, community partners, referral agencies, and internal staff. The home base for this position and training would take place in Waterville, but travel for coverage and cross training would also include the Skowhegan and Bangor offices. Position Overview The Administrative Assistant provides outstanding customer service and operational support, including assisting individuals with intake and access to care, scheduling appointments, performing clerical duties, and supporting clinical staff. This position requires professionalism, strong communication skills, and the ability to create a welcoming, non-judgmental environment for individuals engaging in treatment. Key Responsibilities Serve as the initial point of contact for incoming calls, walk-ins, and referrals Assist individuals in accessing services, including intake support and directing to appropriate staff Schedule appointments and maintain accurate records Provide clerical and administrative support to clinical and office staff Communicate professionally with clients, families, community providers, and internal team members Support efficient office operations across multiple locations Qualifications High school diploma or GED required; college coursework preferred
Minimum of:
Two (2) years of customer service experience in an unrelated field, or One (1) year of experience in a related field Strong customer service and problem-solving skills Ability to demonstrate empathy, accountability, and understanding of substance use and recovery Excellent organizational skills with the ability to multitask and follow established procedures Working knowledge of Microsoft Office and ability to learn Electronic Medical Records and scheduling systems Familiarity with basic office equipment and phone systems Positive attitude, strong teamwork skills, and a collaborative approach to office operations Compensation Competitive pay scale based on experiencePay:
