Administrative Assistant Job Description Prospective candidates must possess the ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner. Rely on experience and judgment to plan and accomplish goals. A wide degree of creativity and latitude is expected .
Responsibilities:
Organize and schedule meetings and appointments Maintain contact lists Produce and distribute correspondence including reports, memos, letters, faxes and forms Assist in the preparation of regularly scheduled reports Develop and maintain a filing system Provide information by answering questions and requests Research and creates presentations in collaboration with the Property Manager Handle multiple projects Prepare and invoice resale certificates and mortgage questionnaires Carry out administrative duties such as filing, typing, copying, binding, scanning, etc. Write letters and emails on behalf of property managers, and/or Condominium Association Boards. Book conference calls, meeting rooms and/or internet-based meetings. Cover the reception desk when required Maintain computer and manual filing systems Handle sensitive information in a confidential manner Reply to email, telephone, or face to face enquiries Develop and update administrative systems to make them more efficient Photocopy and print out documents on behalf of managed properties and property managers
Requirements:
Proven administrative or assistant experience Knowledge of office management systems and procedures Excellent time management skills and ability to multi-task and prioritize work Attention to detail and problem-solving skills Excellent written and verbal communication skills Strong organizational and planning skills Proficient in MS Office At least 2 years of Office experience High school diploma or equivalent; college degree preferred Administrative Assistant top skills & proficiencies: Problem Solving Accuracy Verbal Communication Multitasking Organization Skills Telephone Skills Ability to Prioritize Teamwork Attention to Detail Excellent discretion and
