Administrative Assistant (School Year)
POSITION OVERVIEW
The Administrative Assistant serves as general administrative support to the Administration and Lead Administrative Assistant, and may support other roles within the school; communicates information to students, parents, staff, and/or other districts; ensures compliance with financial, legal, and administrative requirements; and supports a broad array of services provided to students, parents, instructional and support employees. Work requires responsible contacts with students, parents, and others. This position exercises some independence and judgment in performing their work.
ESSENTIAL RESPONSIBILITIES
Operate and oversee the building security system, including the point of contact for all incoming guests and visitors Perform general secretarial duties for the building and building administrator as assigned Operate the District computer software to maintain and update current and accurate records Receive incoming telephone calls and operate the telephone system Maintain current and accurate student records, prepare and provide reports from data as necessary Compose correspondence as necessary Perform such other tasks and assume such other responsibilities as assigned by the building Administrator or designee
KNOWLEDGE, SKILLS, AND ABILITIES
Working knowledge of computer software and programs, including word-processing, data entry, spreadsheets, and Google Workspace Demonstrated competency in oral and written communication Successful experience working with a student population Ability to maintain confidentiality, professional tact, diplomacy, and presentation with administrators, students, teachers, parents, and the community Ability to work with staff and the general public professionally and appropriately Ability to comprehend and maintain detailed and often confidential information Ability to make independent judgments by school/program procedures and policies Ability to multi-task in a fast-paced, changing office environment, and work with frequent interruptions and changes in assignments
EDUCATION, TRAINING, AND EXPERIENCE
High School Diploma or equivalent Minimum two years' experience in a busy office environment required, providing high-level secretarial/data management functions using modern office technologies.
