Job Description
We are looking for a detail-oriented Administrative Assistant to support daily office operations for a financial services organization in South Portland, Maine. This Long-term Contract position is onsite and offers a flexible 20-hour workweek, with the possibility of additional hours based on business needs. The person in this role will help keep administrative workflows organized, provide dependable data entry support, and contribute to a collaborative team environment where accuracy and initiative are highly valued.
Responsibilities:
- Manage a range of day-to-day administrative tasks to help the office operate efficiently and stay organized.
- Enter, update, and maintain information in internal records with a high degree of accuracy and attention to detail.
- Answer inbound calls professionally and direct questions or requests to the appropriate team members.
- Balance multiple assignments at once and adjust priorities as new needs arise across the office.
- Support the loan operations team with clerical and administrative work during a period of reduced staff capacity.
- Follow established procedures and complete assigned checklists independently after the initial training period.
- Communicate proactively when clarification is needed to ensure work is completed correctly and on time.
- Assist with additional projects and general office support duties as requested by leadership or team members.
