Job Description

The Order Management Coordinator will coordinate order processing, shipping, and billing to ensure accurate and timely delivery of parts and services. You will collaborate with internal teams and external partners in a fast-paced environment.
Key Responsibilities:
Review orders in the system, ensuring proper documentation and timely fulfillment. Manage order entry and processing, selecting correct parts, allocating inventory, and meeting fulfillment timelines. Prepare and submit weekly billing statements for hardware and software service calls, coordinating with technicians to verify service completion and billing accuracy. Enter and track daily spare parts orders, maintaining accuracy during peak periods or staff absences. Package and ship parts orders via FedEx and UPS. Review weekly/monthly carrier invoices, identify discrepancies, and resolve billing issues with accounting or carriers. Provide backup front-desk support, greeting visitors, answering phones, and handling mail and deliveries. Prioritize tasks and manage multiple responsibilities simultaneously while maintaining high attention to detail and meeting tight deadlines.
Qualifications:
2+ years of experience in a remote call handling or call center environment. Proficiency with CRM systems and the Microsoft Office Suite. Excellent verbal and written communication skills. Strong problem-solving skills with the ability to multitask in a fast-paced environment. High level of attention to detail and organizational skills. Ability to work independently and collaboratively with cross-functional teams. Customer-service-oriented mindset committed to providing exceptional service.
Preferred Skills:
Experience in service coordination or dispatching. Familiarity with logistics, parts, or service industry operations.
