May be required to work overtime during peak periods. Usual office conditions. This role involves regular interaction with students, staff, and external partners. You'll be expected to manage multiple tasks, maintain confidentiality, and adapt to shifting priorities in a collaborative office environment. Description Benefits Questions Job Function Job Function Independently performs and coordinates a wide variety of duties which require good judgment and making operating decisions based on knowledge of College organization, policies and personnel. A wide range of flexibility is allowed in relieving Associate Dean, Business & Information Technology, of routine business detail. Job Responsibilities Job Responsibilities Provides clerical/administrative assistant support for various aspects of the operation for which the Associate Dean, Dean and Director WCE-BIT are responsible. Assists the Business & Information Technology Associate Dean, Dean and WCE Director in the execution of departmental processes such as schedule development, faculty contract preparation, and industry advisory committees. Supports the scheduling and execution of Business & Information Technology Advisory Committee meetings and communications as assigned; prepares meeting minutes and follows up on items as required. Assists the Associate Dean/Dean of Business & Information Technology to prepare Curriculum Committee documents, copy documents, and deliver documents to the Curriculum Committee. Supports activities related to grant funding programming, corporate training, training projects, continuing education, and teaching vendors. Assists in the review of faculty teaching assignment sheets for base load and extra contractual contract compliance. Provides all Business and Information Technology students and faculty guidance based on knowledge of college operations and activities of the department. Assists with processing of faculty absence and faculty substitute forms, student waivers, student course substitutions, classroom postings, and other college business forms. Assists with activities related to textbook adoptions and stock. Assists all Business and Information Technology faculty and staff to acquire appropriate resources as needed. Will be expected to use Ellucian Colleague, Lumens, email and Microsoft Office programs including but not limited to, Word and Excel. Use software packages utilized within the department. Assists in the posting of all Business and Information Technology job postings using current HR processes and practices. Process security forms. Maintains calendar, schedules appointments and meeting rooms. Assists with copying of tests and other classroom materials for faculty. Assists with delivery and pickup of makeup tests and print shop jobs. Assists with maintenance of all faculty and staff contact information. Communicates effectively with others in areas both directly and indirectly related to college business; must adhere to institutional standards. May provide general direction, assigning of work and training to part-time staff assigned to the department. Maintains and improves upon the full range of record keeping and staff files to ensure accuracy and consistency of all department initiatives and routine office operation. Screens, evaluates, and assists in resolving all student concerns. Works with the Associate Dean, Dean, Director WCE-BIT, department staff, or others to coordinate special projects and events. Performs clerical activities related to all office procedures, including: properly directing students or the public, handling mail, ordering supplies, maintaining calendar and scheduling meetings, filing, operating standard office machines. Performs related duties related to the operations and activities of the Business & Information Technology departments and of the College, as needed. Qualifications Experience and Qualifications ASP Assessment Test level 5 or higher. Four years related experience.
  • One (1) year experience may be waived when applicant holds an Associate's degree.
