Job Description

We are looking for an Administrative Assistant to support daily office operations for a non-profit organization in Michigan. This Long-term Contract to cover for a LOA position is ideal for someone who enjoys keeping administrative processes organized, assisting internal teams, and providing dependable service to staff and visitors. The role combines mail distribution, clerical coordination, records support, and front-office assistance in a detail-focused office environment. This role is 100% onsite, M-F 8am-5pm.
Responsibilities:
  • Manage incoming, outgoing, and interoffice mail by collecting, organizing, distributing, and preparing items for delivery across departments.
  • Operate and monitor postage equipment, arrange funding replenishment when needed, and coordinate with service providers to resolve equipment issues.
  • Provide front-desk and administrative support by answering inquiries, assisting visitors, and directing questions to the appropriate departments or team members.
  • Prepare and revise correspondence, reports, forms, invoices, and other business documents with accuracy and attention to detail.
  • Support financial administration by assisting with accounts payable, accounts receivable, payroll-related processing, and invoice-to-purchase-order verification.
  • Maintain orderly electronic and paper filing systems while following established records retention and documentation practices.
  • Enter, track, and compile operational or financial data to support reporting, recordkeeping, and routine administrative analysis.
  • Coordinate calendars, meetings, agendas, notes, and minutes for boards, committees, and departmental activities.
  • Assist with general office operations such as ordering supplies, processing work requests, receiving deliveries, and providing administrative coverage for special projects or team needs.
