Job Description

Summary Besser Senior Living Community is seeking a versatile Administrative Assistant to join our team. The ideal candidate will be responsible for a variety of tasks and administrative duties, ensuring the smooth operation of our community. Responsibilities
  • Performs general office tasks such as answering phones, faxing, attending meetings/taking notes, ordering supplies, and keeping resident appointment calendars up to date. Manages and maintains confidential employee files.
  • Provides exceptional service both in person and over the phone.
  • Manages front desk operations including greeting visitors, answering inquiries, giving tours, and maintaining the wait list.
  • Handles resident admissions and keeps resident files up to date.
  • Coordinates marketing and event planning activities and attends community events.
  • Creates social media posts and monthly newsletter.
  • Leads and/or assists with facility events and creates/distributes flyers.
  • Reviews employment applications and schedules interviews.
  • Onboards new hires, including coordinating background checks, TB tests, new hire paperwork, and orientation. Keeps employee files up to date.
  • Does the employee scheduling for the housekeeping and activities departments.
  • Organizes and maintains payroll documents, rent roll, rent payments and bank deposits, receipts/invoices, and monthly budget sheets and forwards to finance department.
  • Manages collections of past due residents' accounts receivables and provides reports on these to the Community Director and Finance Director.
  • Ensures that residents and families receive the highest quality of service in a caring and compassionate atmosphere which recognizes the individuals' needs and rights.
  • Develops and maintains a good working rapport with intra-departmental staff and other departments within the facility to ensure fiscal services and activities are maintained to meet the needs of the facility and the corporation.
  • Accumulates, maintains, and compiles statistical information as directed.
  • Concerns him/herself with the safety of all residents in order to minimize the potential for fire and accidents. Also, ensures that the facility adheres to the legal, safety, and health, fire, and sanitation codes by being familiar with his/her role in carrying out the center's fire, safety, and disaster plans and being familiar with the current MSDS.
  • Provides information to residents and families, as necessary, or refers to appropriate department or agency.
  • Assists in projects as assigned by Community Director.
  • Provides assistance within other departments as needed/directed in order to provide quality care to the residents.
  • Maintains confidentiality of all facility and company information.
  • Must maintain good person hygiene and follow the required dress code.
  • May be requested to work rotating shifts, holidays, weekends, additional hours, and in different positions as the facility's needs require. Qualifications
  • Must have prior experience in customer service or front desk operations.
  • Must have ability to use standard office equipment and have basic computer skills including proficiency in Microsoft Word and Excel.
  • Must possess strong organizational skills with attention to detail.
  • Must be able to multitask and prioritize workload effectively.
  • Must possess ability to make independent decisions and problem solve as appropriate.
  • Must be able to work beyond normal working hours when necessary.
  • Must possess excellent communication and interpersonal abilities and be courteous and tactful at all times.
  • Must possess ability to positively interact with personnel, residents, family members, visitors, government agencies/personnel and the general public.
  • Must exercise discretion in handling of confidential information.
