Job Overview We are seeking a dynamic and highly organized Office Assistant to join our team! Responsibilities Greet visitors and manage front desk operations with professionalism and warmth Answer multi-line phone systems promptly and direct calls accurately using proper phone etiquette Handle data entry, filing, and document proofreading to maintain organized records Manage calendar appointments, schedule meetings, and coordinate calendar management for staff Assist with bookkeeping tasks using QuickBooks or similar accounting software Support office management duties such as supply inventory, mail distribution, and maintaining office equipment Provide excellent customer service by addressing inquiries via phone or email and supporting client needs Utilize computer skills across Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for various administrative tasks Perform clerical duties including typing reports, preparing correspondence, and organizing files efficiently Support personal assistant activities as needed to help team members stay organized and on schedule Experience Prior office experience in administrative or clerical roles is highly preferred Proven ability to handle multi-line phone systems and demonstrate excellent phone etiquette Bilingual skills are a plus for effective communication with diverse clients and team members Familiarity with QuickBooks, Microsoft Office (Word, Excel), Google Workspace, and data entry tools is essential Experience in customer service or customer support roles enhances your ability to connect with clients professionally Strong organizational skills with the ability to prioritize tasks efficiently in a busy environment Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required Demonstrated proficiency in proofreading, filing systems, calendar management, and time management skills Join us as an Office Assistant where your enthusiasm meets opportunity!
