General Description and Position Summary:
Responsible for providing clerical and administrative support to the organization.
Essential Duties and Responsibilities :
- Communicate with agencies, community organizations, donors, volunteers, and all visitors to maintain effective and positive relations both in person and on the phone.
- Answer the phone and forward messages and calls to staff.
- Maintain knowledge of SMFB partner agencies throughout the entire service area and share resources with staff, clients, community members, and others.
- Open, log, sort, and deliver incoming mail to appropriate staff.
- Perform the following functions as they relate to the daily cash receipts: Record all payments on invoices in the inventory software daily. Draft correspondence for standard past-due accounts. Complete pre-receipts for inventory. Record donations received in the donor database management system in accordance with established guidelines.
- Provide administrative support to all SMFB departments for special projects as time allows.
- Assist with entering receivables and payables in QuickBooks.
- Schedule all agency appointments.
- Provide general office assistance, such as copying, data entry, preparing mail, and filing as needed.
- Maintain knowledge of office equipment/systems, including (but not limited to) postage meter, phone system, copiers, printers, etc.
- Coordinate the repair and maintenance of office equipment, including ordering needed supplies.
- Research cost-effective methods of ordering office supplies and ordering supplies as needed.
- Maintain knowledge of community services available and share resources with clients as needed.
- Update and maintain office policies and procedures manual.
- Serve as backup for other office staff as directed and needed.
- Other duties as assigned. Qualifications
- Associate's degree with a minimum of (2) years experience in a related field. Additional education may be substituted for experience, and education qualifications may be waived depending on work history.
- Excellent verbal, analytical, and written skills.
- Well-organized and detail-oriented.
- Ability to work independently, take initiative, and meet high expectations, as well as work as part of a team, communicate well, and support others.
- Experience in project management and the ability to meet deadlines while managing multiple projects.
- Ability to work in a diverse environment with a diverse population.
- High level of proficiency with Microsoft Office (Word, Excel, Outlook, etc.) and standard office software and equipment.
- Knowledge of donor and inventory software is a plus.
- Strong commitment to social justice.
- Possess current vehicle insurance and the ability to use a personal vehicle for SMFB business. Work Environment
- Work is generally performed within an office environment with standard office equipment. Occasional lifting and bending may be necessary.
