Position Overview:
We are seeking a part-time Office Assistant to support the daily operations of our office. This position is scheduled in the office approximately 20 hours per week, 12:00 p.m. to 5:00 p.m., Monday through Friday. The Office Assistant keeps the office running smoothly by handling document processing, correspondence, supply management, and general administrative support for our attorneys and staff. The successful candidate will be comfortable with computers, Microsoft Office, and PDF software, and will excel at staying organized and managing time independently. This position requires a valid driver's license and reliable transportation.
Key Responsibilities:
Process incoming and outgoing correspondence, including mail, email, faxes, and medical and other records received from clients and providers, and ensure accurate record-keeping through scanning and document management software. Scan, organize, store, and route documents so that they reach the correct attorney or staff member promptly. Make daily deliveries to the post office and to FedEx or UPS as needed. Coordinate with attorneys and staff to ensure clear and timely exchange of information, addressing questions and resolving issues as they arise. Manage multiple tasks at once, prioritize effectively, and adapt to shifting priorities in a busy office. Perform general administrative tasks including photocopying, faxing, filing, and monitoring and ordering office supplies. Support general office upkeep by tidying common areas and keeping shared spaces organized. Run occasional office errands and assist with special projects or one-time tasks. Assist legal assistants, paralegals, and attorneys with other tasks as needed.
Qualifications:
High school diploma or equivalent. Strong written and verbal communication skills. Exceptional organizational skills and close attention to detail. Ability to manage multiple tasks, prioritize workload, and meet deadlines. High level of professionalism and the ability to maintain strict confidentiality when handling sensitive medical and legal records. Proficiency in Microsoft Office (Word, Excel, Outlook) and comfort learning new software. Reliable transportation and a valid driver's license.
