We are seeking a highly organized, dependable, and detail-oriented Assistant to the Business Manager to join our growing multi-practitioner medical office. This position will work closely with the Business Manager and provide support with the day-to-day administrative and operational functions of the practice. The ideal candidate is someone who enjoys organization, numbers, systems, and making sure details are handled accurately and on time. A medical office or healthcare background is a plus, but not required. We are willing to train the right candidate who has strong organizational and administrative skills and a willingness to learn. Key Responsibilities Assist the Business Manager with daily administrative and operational tasks Run and review daily business and financial reports Perform basic manual accounting and data-entry functions Maintain and organize spreadsheets and business records Utilize Microsoft Excel regularly for reporting, tracking, and analysis Monitor compliance-related items and help ensure office procedures are being followed Process and track product and office supply orders for Webstore Maintain accurate records of orders, invoices, and related documentation Identify discrepancies or missing information and bring them to the Business Manager's attention Assist with inventory and supply tracking Help monitor recurring administrative processes and deadlines Communicate with vendors and assist with resolving order or account issues Maintain confidentiality when working with business and patient-related information Provide general administrative support to the Business Manager and practice as needed
Qualifications Required:
Excellent organizational and time-management skills Associate's degree or 2 plus years of administrative accounting expereince Strong attention to detail and accuracy Proficiency with Microsoft Excel Comfortable working with numbers, spreadsheets, and reports Ability to prioritize multiple tasks and meet deadlines Strong written and verbal communication skills Dependable, responsible, and able to work independently Ability to maintain confidentiality and handle sensitive information professionally Willingness to learn new systems and processesPreferred, but not required: Previous experience in a medical or healthcare office Experience with accounting, bookkeeping, or financial reporting Experience with medical practice management systems Experience with compliance or regulatory processes Familiarity with inventory or order management What We're Looking For This is a hands-on position that requires someone who is comfortable working with both people and numbers and who can move between administrative tasks, spreadsheets, reports, ordering, and compliance-related responsibilities throughout the day.
Pay:
$20.00 - $22.00 per hour Expected hours: 40.0 per week
