Full Job Description Position Overview:
The Office Assistant supports daily office operations through a structured, task-based workflow managed in our Project Management Software. This role is responsible for maintaining administrative accuracy, supporting onboarding and compliance processes, coordinating billing-related tasks, and ensuring smooth day-to-day office functioning. The Office Assistant works closely with leadership, field staff, the Tech Assistant, and other administrative team members to ensure operations are efficient, organized, and compliant. Responsibilities are completed on a recurring weekly, monthly, and quarterly basis in alignment with established standard operating procedures.Core Responsibilities:
The Office Assistant manages a consistent set of responsibilities across administrative support, operations, compliance, onboarding, and reporting, ensuring all tasks are completed accurately and on schedule.Daily Responsibilities:
Open and prepare the office each morning following established procedures Provide front desk coverage, including answering phones and greeting visitors Monitor email, Asana, and internal communication platforms throughout the day Complete assigned tasks in Asana, following SOPs before marking tasks complete Maintain a clean, organized, and professional office environment Support staff with administrative needs (printing, scanning, documentation, etc.) Close and secure the office at the end of the day following proceduresOngoing Weekly Responsibilities:
Review consultant notes and client records for accuracy and completeness Maintain and update client and employee files (digital and physical) Ensure Asana projects, client lists, and schedules are accurate and up to date Monitor onboarding progress for new hires and prepare necessary materials Conduct inventory checks and restock office, kitchen, restroom, and onboarding supplies Track receipts, organize documentation, and assist with purchasing coordination Support compliance by reviewing documentation and identifying missing or incomplete records Assist with onboarding processes including payroll setup, background checks, and documentation collection Coordinate workspace and technology setup with the Tech Assistant Prepare materials for staff trainings, meetings, and evaluation clinics Review and reconcile billable hours, identifying discrepancies and following up as needed Assist in preparing weekly reports, charts, and staff meeting materials Submit required documentation (e.g., Woodlands logs, receipts, reports)Monthly Responsibilities:
Conduct full inventory review and prepare purchasing lists for leadership approval Collect, organize, and file monthly revenue audits Review client and employee files to ensure completeness and organization Track and prepare supply-related expenses and documentationQuarterly Responsibilities:
Update onboarding templates and administrative materials Complete compliance checks, including exclusion monitoring (OIG/SAM) Collect and update proof of insurance for staff and partners Conduct comprehensive documentation and compliance reviewsSystems & Tools:
Use Asana daily to manage tasks, subtasks, and SOP references Follow SOPs consistently before marking tasks complete Communicate issues, missing information, or process gaps promptly Collaborate with the Tech Assistant on reporting, systems, and automationQualifications:
Experience in administrative or office support roles preferred Strong organizational and attention-to-detail skills Ability to follow structured workflows and standard procedures Ability to manage multiple responsibilities consistently Strong written and verbal communication skills Ability to handle confidential information with professionalism Success inThis Role Looks Like:
