We are currently seeking a Full-Time Administrative Assistant to join our Accounting and Administration team. This position plays an important role in supporting multiple departments by ensuring administrative processes are completed accurately and efficiently while helping the company achieve its operational goals. Medical, Vision, Dental, and Supplemental Accident and Illness Life insurance 401(k) Paid Time Off (PTO) Position Summary The Administrative Assistant provides administrative support to all departments under the direction of the Office Manager. This individual will be responsible for maintaining company records, assisting with accounting functions, supporting contract administration, coordinating company assets, and helping ensure company policies and procedures are followed. Primary Responsibilities As an Administrative Assistant, your responsibilities will include: Providing administrative support to multiple departments. Maintaining accurate administrative records and company documentation. Assisting with W-9 collection and recordkeeping. Managing Insurance Liability Certificates. Maintaining company vehicle records and documentation. Tracking and renewing business licenses. Assisting with customer contracts, including renewals, amendments, addendums, and new business documentation. Coordinating company purchasing cards (P-Cards), including ordering, cancellations, and updates. Managing company fuel cards, employee PIN assignments, and account maintenance. Maintaining company cell phone records and updating vendor portals to accurately track assigned company assets. Assisting with company insurance administration, including reporting policy changes, filing claims, and following up on claim status. Assisting with employee benefit administration by helping maintain accurate benefit premium records. Supporting the Accounting Department through data entry of accounts payable, customer billing, and bank deposits. Assisting in preparing and submitting business proposals and responses to bid opportunities. Promoting a positive, professional workplace that supports company goals and long-term success. Additional Responsibilities Cross-train to provide backup support for other office personnel when needed. Assist with special projects and company initiatives. Perform additional administrative duties as assigned by the Office Manager or management team. Qualifications We're looking for someone who has: High School Diploma or GED required. Strong organizational skills and exceptional attention to detail. Proficiency with Microsoft Office, including Excel, Word, PowerPoint, and Publisher. Experience operating standard office equipment. General knowledge of office procedures and administrative practices. Basic understanding of accounting and human resources functions is preferred but not required. Excellent communication and interpersonal skills. Ability to prioritize tasks, follow instructions, and work independently while contributing to a team environment. Work Environment This position is located in a professional office setting and includes: Frequent computer use throughout the workday. Regular interaction with employees, vendors, and customers. Open office environment with occasional interruptions from phones, coworkers, and office equipment. Sitting, typing, and viewing computer screens for extended periods. Why Join Our Team?
