ROLE SUMMARY
Our Client is seeking a highly organized and dependable Office Administrator to support daily office operations and administrative activities within a professional healthcare technology environment. The Office Administrator will coordinate administrative tasks, maintain records, support project and management teams, assist with scheduling and correspondence, and help ensure the office operates efficiently. The ideal candidate will be detail-oriented, professional, organized, and comfortable managing multiple priorities while working with employees, clients, vendors, and other stakeholders.
KEY RESPONSIBILITIES
Manage day-to-day office administrative operations. Answer and direct phone calls, emails, and general inquiries. Maintain organized electronic and physical files, records, and documents. Schedule meetings, appointments, and internal activities. Prepare correspondence, reports, presentations, spreadsheets, and other documents. Assist project managers and leadership with administrative and operational tasks. Coordinate office supplies, equipment, mail, deliveries, and vendor services. Maintain accurate employee, client, vendor, and project-related records. Assist with invoice processing, purchase orders, expense reports, and other administrative financial tasks. Track documents, deadlines, approvals, and follow-up items. Assist with onboarding and administrative support for new employees. Coordinate meetings, conference rooms, travel arrangements, and company events as needed. Support project documentation, reporting, and closeout activities. Assist with maintaining company databases and administrative systems. Communicate professionally with clients, subcontractors, vendors, consultants, and internal teams. Help maintain a professional, organized, and welcoming office environment. Handle confidential information with discretion. Support other administrative and operational initiatives as assigned.
PROJECT & HEALTHCARE TECHNOLOGY SUPPORT
Provide administrative support to project management and technology teams. Assist with organizing project files, contracts, proposals, schedules, and correspondence. Track project-related documentation and deliverables. Assist with meeting coordination and preparation of project reports. Support communication between internal teams, clients, vendors, and subcontractors. Help maintain accurate records for healthcare technology and construction-related projects.
QUALIFICATIONS
3+ years of experience in office administration, administrative coordination, or a similar role. Experience supporting project managers, executives, or operations teams preferred. Strong organizational and time-management skills. Excellent written and verbal communication skills. Strong attention to detail and accuracy. Ability to prioritize multiple tasks and meet deadlines. Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint . Ability to maintain accurate records and documentation. Strong customer-service and interpersonal skills. Ability to work independently and as part of a team. Professional attitude and strong follow-through. Experience in healthcare, construction, technology, engineering, or a professional services environment is a plus.
