Job Description

Description We are looking for an Administrative Assistant to join a non-profit organization in Grand Rapids, Michigan in a contract-to-permanent capacity. This position supports housing-focused programs by helping individuals and families access resources, maintain documentation, and navigate services that promote stable living situations. The role combines office coordination, participant support, and community interaction, making it ideal for someone who is organized, compassionate, and comfortable managing a wide range of administrative and service-related tasks.
Responsibilities:
  • Welcome participants, partners, and callers with professionalism while handling front-desk, phone, and general office support activities.
  • Gather and organize participant information, review documentation for completeness, and maintain accurate records in accordance with program and funding expectations.
  • Assist with intake-related processes by helping evaluate household circumstances, confirming eligibility details, and identifying service needs.
  • Support housing placement efforts by coordinating appointments, preparing required paperwork, and helping participants understand rent and income guidelines.
  • Work with landlords, property representatives, and community partners to encourage clear communication and resolve issues affecting housing stability.
  • Track program activity and prepare monthly, quarterly, and annual reports to support compliance and performance measurement.
  • Coordinate workshops, group sessions, and participant communications that encourage self-sufficiency, employment readiness, and successful tenancy.
  • Attend staff meetings and trainings, contribute to team goals, and help carry out program procedures that align with regulatory standards and organizational policies. Requirements
  • Experience in administrative support, office coordination, or front-desk operations.
  • Ability to manage inbound calls, greet visitors, and provide responsive customer service in a detail-focused setting.
  • Strong data entry skills with close attention to accuracy, organization, and confidentiality.
  • Comfortable maintaining files, tracking documentation, and supporting reporting requirements.
  • Effective verbal and written communication skills for interacting with participants, staff, and external partners.
  • Ability to balance multiple priorities, meet deadlines, and adapt in a fast-paced environment.
  • Proficiency with standard office systems and general administrative procedures.
  • Prior experience in a non-profit, social services, housing, or community-based setting is helpful.
