Shift:
First Shift The Arts Area Administrative Assistant provides comprehensive administrative and operational support to the Creative Writing, Interdisciplinary Arts, and Film and New Media departments across Interlochen Arts Academy and Interlochen Arts Camp. This role is central to the day-to-day functioning of these programs, supporting faculty, students, and visiting artists while helping to coordinate logistics, events, and departmental operations in a fast-paced, creative environment.
Essential Duties & Responsibilities:
Provide clerical and operational support, including correspondence, document preparation, and office coordination. Manage budgets, purchase orders, receipts, credit card transactions, and supply ordering. Process forms and track work orders across campus departments. Troubleshoot basic office and classroom technology Coordinate travel, lodging, and itineraries for faculty and guest artists. Organize field trips, shipping/receiving, and visiting artist logistics (contracts, honoraria). Support events, screenings, festivals, and occasional evening programming. Assist with summer programming and faculty support. Support production of student publications and program materials using design software Prioritizes duties in a manner consistent with organizational objectives and growth. Performs other duties as assigned.
Experience and Skills:
Minimum Qualifications:
Associate's degree (Bachelor's preferred) Strong technological aptitude with the ability to navigate a fast-paced, frequently changing environment Excellent attention to detail Ability to manage multiple priorities and shift focus as needed Strong organizational skills with the ability to prioritize and meet deadlines Effective verbal and written communication skills Ability to work collaboratively with students, faculty, staff, and external stakeholders from diverse backgrounds Strong problem-solving skills, including the ability to research issues and recommend solutions Adaptability and ability to work under pressure in an evolving environment Proficiency with Google Suite, Microsoft Office (Word, Excel, PowerPoint) and other relevant software
Preferred Qualifications:
Experience supporting multiple departments or programs in an academic or arts environment Experience coordinating events, travel, or logistics Familiarity with design software for publications or program materials Experience working in a highly collaborative, creative environment Demonstrated ability to build and maintain strong working relationships across teams
