Job Description
Shop Administrative Assistant Position Overview We are looking for a motivated, detail-oriented, and organized Shop Administrative Assistant to support the daily operations of our shop and office. In this role, you will be responsible for a variety of administrative, clerical, and bookkeeping tasks that help ensure efficient workflows and accurate recordkeeping. This is a great opportunity for someone who enjoys working in a fast-paced environment and is eager to grow their administrative skills while contributing to a collaborative team. Key Responsibilities Collect, verify, and enter weekly equipment hour reports. Answer and direct incoming phone calls from field personnel, vendors, and customers in a professional manner. Perform accurate data entry and maintain records using Microsoft Office applications, including Word, Excel, Outlook, and company reporting software. Assist with bookkeeping duties, including invoice approvals, expense tracking, and maintaining financial records. Organize and maintain files, documents, and correspondence while ensuring confidentiality of sensitive information. Track tools and equipment to support job costing and inventory reporting. Support with ordering parts and supplies for field and shop. Assist with office management tasks, including ordering office supplies, maintaining filing systems, and performing general administrative duties. Proofread documents and ensure accuracy in reports, records, and correspondence. Complete additional administrative tasks and special projects as assigned. Qualifications Previous administrative or clerical experience in an office environment preferred. Strong organizational skills with the ability to manage multiple priorities and meet deadlines. Proficiency in Microsoft Office Suite (Word, Excel, and Outlook) with strong computer and data entry skills. Excellent typing accuracy and attention to detail. Ability to maintain confidentiality and handle sensitive information with discretion. Strong communication, customer service, and telephone etiquette skills.
