Job Description

Job Summary The Charter Township of Kalamazoo is seeking a highly organized, detail-oriented professional to serve as its Executive Coordinator . This position provides high-level administrative and financial support to the Township Superintendent. The successful candidate will exercise independent judgment, handle sensitive and confidential information, and manage multiple priorities. The Executive Coordinator plays an important role in the day-to-day operation of the Superintendent's Office and Township administration.
Key responsibilities include:
Perform financial administrative functions, including monthly bank reconciliations, budget and financial report assistance, purchase orders and invoices, annual audit preparation, and backup support for payroll and accounts payable. Coordinate the daily administrative operations of the Superintendent's Office, including calendar management, scheduling, correspondence, communications, and confidential records. Coordinate preparation, publication, and distribution of Township Board meeting agendas and packets, legal notices, meeting materials, and meeting logistics. Support Township communications by maintaining website content, coordinating social media and Township app content, producing newsletters, and assisting with public information. Respond to resident inquiries and complaints and coordinate appropriate follow-up with Township departments. Coordinate special projects, initiatives, and research assignments as directed by the Superintendent. Requirements Associate's degree. Two (2) to four (4) years of progressively responsible financial experience supporting senior management or executive leadership. Strong written and verbal communication skills. Excellent organizational skills and attention to detail. Ability to manage multiple priorities and deadlines in a fast-paced environment. Ability to exercise sound independent judgment and appropriately handle confidential and sensitive information. Proficiency with Microsoft Office 365. Preferred Qualifications Bachelor's degree. Finance experience in local government or another public-sector organization strongly preferred. Experience with BS&A software, Adobe Acrobat, website content management systems, and social media platforms. Demonstrated project management skills and the ability to interpret and apply policies, procedures, laws, and regulations.

Full-Time (40 hours per week) with some evening hours for meetings.
Benefits:
This position is eligible for health benefits in accordance with Township policies.
Compensation:
$29.88 - $32.86 per hour, commensurate with prior experience

From $62,140.37 per year
