PAY RATE
$18.50 per hour.SCHEDULE
1st Shift Mon-Fri (8:30 AM - 5:00 PM) Additional hours may be required based on operational needs. SCOPE The position of Administrative Assistant reports to both the Director of Operations and, for recruiting tasks, the HR Manager. The position is responsible for providing administrative support to the Lansing Office and Corporate Staff located at that office. The Administrative Assistant is responsible for operating a multi-line switchboard, processing pre-employment background screening, and fingerprinting, as well as providing outstanding customer service. In addition, the Admin Assistant will provide support with company-wide recruitment, specifically applicant tracking system monitoring, pre-screen telephone interviews; and will support our corporate management team as well as our supervisors and employees out in the field, and ultimately our customers and clients.JOB DUTIES
Must provide above excellent customer service when dealing with Clients, Customers, Co-Workers, etc. Must display the highest degree of professionalism and integrity. Provide information and assistance to calling parties concerning emergency, security and general assistance needs. Serve as an information resource to DK employees and clients. Locate requested information through additional sources as needed. Process and report background screen requests. Provide support to the Recruiting/HR Department with company-wide recruitment efforts including but not limited to: Posting jobs using various sources and methods, Monitoring the applicant tracking system, Processing online applications for review, Conducting pre-screen telephone interviews, Scheduling face-to-face interviews with hiring managers, Assisting with the on-boarding process, Will perform fingerprinting for clients (in the office and at client locations). In addition, will process invoices for fingerprint clients as well. Will be cross-trained in other areas of the Employee On-Boarding process, including but not limited to: New Hire Orientation, CPR/1st Aide/AED/BBP Evaluation, processing New Hire files, I-9 Forms, entering New Hire information into our payroll system, etc. Will maintain an inventory of office supplies and will order new supplies when requested, and with approval from the Director of Operations. Will assist with the inventory and cleaning of Security Officer Uniforms and equipment, and will order new uniforms when requested, and with approval from the Director of Operations. Will assist with scheduling employees out in the field. Other duties as assigned.QUALIFICATIONS
Must be at least 18 years of age or older. Must be of good moral character, with no felony convictions or misdemeanor convictions for criminal sexual conduct or related offenses, theft, assault, or crimes of moral turpitude, is required. Must possess above average customer service skills. Must have a High School Diploma or GED; Associates Degree or the equivalent administrative work experience preferred. Must have a current valid driver license and be eligible to drive under the company insurance policy. 1 year of related experience preferred. Must present a friendly, positive, professional image to Clients, employees, supervisors, managers, and the general public. Must possess excellent verbal, written and interpersonal communications skills and the ability to solve problems and de-escalate situations in a non-confrontational manner. These include the ability to read and write the English language and interpret documents such as safety rules, operating procedures, maintenance instructions and reports. Must have the ability to successfully manage multiple tasks at the same time. Excellent organizational skills required. Must possess the ability to perform basic mathematical calculations, such as addition, subtraction, multiplication and division as a minimum. Must be proficient in Microsoft Word, Excel, and Microsoft Outlook. Must have reliable transportation. Must be able to sit, stand, walk, navigate stairs, and remain alert for an 8-12 hour shift. Must be able to lift at least 50 lbs. Must be willing to fill in as needed to help with security coverage with adequate notice. Ability to work independently with little or no supervision.NOTE:
