Overview We are seeking a dedicated and organized Village Clerk to join our community team. This vital role ensures the smooth operation of village administrative functions, provides exceptional support to residents and officials, and maintains accurate records. The Village Clerk acts as a key point of contact for the public, manages official documentation, and facilitates effective communication within the community. Duties Manage and maintain official village records, including minutes, ordinances, resolutions, and legal documents with precision and confidentiality Handle incoming calls using multi-line phone systems, providing friendly and professional customer support to residents, vendors, and officials Assist with front desk responsibilities such as greeting visitors, directing inquiries, and managing walk-in appointments Organize and schedule meetings, events, and public hearings while managing calendars using Microsoft Office and Google Workspace tools Prepare correspondence, proofread documents for accuracy, and ensure timely distribution of information to stakeholders Support office management activities such as filing, document scanning, maintaining office supplies, and handling confidential information discreetly Requirements Proven experience in office management or administrative support roles with strong clerical skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Familiarity with QuickBooks or similar bookkeeping software is highly desirable Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Strong communication skills both via phone etiquette and client interaction; bilingual abilities are a plus Demonstrated ability to handle confidential information responsibly with high integrity Experience with multi-line phone systems and data entry accuracy is essential Personal assistant or office experience involving calendar management and time management skills is preferred Join us as a Village Clerk to be at the heart of our community's daily operations!
