Job Description

Summary:
The Nehemiah Project is a faith-based shelter for men, women, and children. We provide housing and all the necessities of life for people who are experiencing homelessness in Northern Michigan. The Administrative Assistant plays a vital role in supporting the daily operations of The Nehemiah Project. This position is responsible for providing administrative and clerical support to the shelter's staff and leadership team, helping ensure that the administration of the shelter is running smoothly so that services are delivered efficiently, compassionately, and in accordance with organizational policies.
Essential Functions:
Serve as a welcoming first point of contact for guests, volunteers, and visitors, offering hospitality in the spirit of Christ. Answer phones, respond to emails, and direct inquiries with kindness and professionalism. Maintain accurate and confidential records, including guest intakes, donation logs, and volunteer files. Assist with administrative tasks related to finances, including accounts payable, accounts receivable, issuing checks, doing payroll, and preparing monthly financial statements. Support donor communication efforts, including preparing newsletters, prayer requests, and thank-you letters. Support the Executive Director as needed. Help The Nehemiah Project maintain a professional and informative online presence. Order office and ministry supplies, keeping track of inventory and needs. Help organize volunteer outreach, orientations, and service opportunities in collaboration with ministry staff. Maintain a clean, welcoming, and uplifting office environment.
Education and Experience:
High school diploma or equivalent required; associate or bachelor's degree preferred. At least 2 years of administrative experience, ideally in a ministry or nonprofit setting. Experience with QuickBooks preferred. Experience with customer relation management software preferred.
Skills and abilities:
Excellent written and verbal communication skills. Strong attention to detail and ability to manage multiple tasks. Proficiency in Microsoft Office (Word, Excel, Outlook) and basic data entry. Ability to handle confidential information with discretion and integrity. Warm, compassionate demeanor, especially when interacting with individuals in crisis.
Physical:
Sitting or standing for long periods of time to perform job functions. Ability to read, write and interpret written documents. •Valid driver's license and insurance. Reliable transportation required for out-of-office travel. Ability to lift and move objects weighing up to 25 pounds.
Faith:
Must provide a clear biblical testimony of a personal experience of receiving, by faith, the Lord Jesus Christ as Savior and give evidence of His presence in daily living (Romans 6:13; Ephesians 4:20-32; Philippians 1:9-11, 3:7-11). Actively seek the unity of believers. Exhibit Christian maturity and be a member in good standing of a local Christ-centered church. Possess a desire to serve in meeting the physical, spiritual, emotional, and relational needs of the homeless, hungry, and hurting, pointing them to Jesus Christ as Savior and Lord and teaching and modeling biblical stewardship and godly, interdependent living.
