Job Description

Overview The Administrative Assistant works with the Director(s) in Practice Transformation and Primary Care to improve and maintain processes of operations relating to all personnel involved within the units of responsibility. This individual acts as a liaison with various leadership personnel, internal and external. This includes clerical functions, maintaining records, and computer systems support. Demonstrates excellent customer service performance in that his/her attitude and actions are at all times consistent with the standards contained in the Vision, Mission and Values of Covenant HealthCare and the commitment to Extraordinary Care for Every Generation. Responsibilities Provide support to Primary Care and Practice Transformation Directors and Managers, on occasion. Works independently, proactively analyzes situations, identifies alternative solutions and makes appropriate decisions. Orders and maintains office supplies and forms. Distribute and route memos, literature, and any other material. Schedules routine 1:1's, monthly and quarterly meetings and responsible for Directors calendars. Responsible for pulling data and reporting out as requested. Responsible for arranging meetings, prepping presentations and taking attendance. Works on special reports as directed. Types memos, letters, minutes, and other professional documents including evaluations for Directors and Managers, patients, physicians, and employee complaints. Maintain and update department route slips, employee phone lists, and phone fans. Receives and distributes department mail. Responsible for accurate biweekly payroll. Performs other duties as assigned. Qualifications
EDUCATION/EXPERIENCE
High school diploma or GED required. One (1) year of secretarial experience required. Training in office, secretarial, or computer field preferred. Experience with Microsoft Excel preferred. Experience with EPIC or EMR system preferred.
KNOWLEDGE/SKILLS/ABILITIES
Works independently, proactively analyzes situations, identifies alternative solutions and makes appropriate decisions. Excellent computer competency, including Microsoft Office. Excellent interpersonal skills, ability to work effectively under pressure, and ability to work accurately despite frequent interruptions. Maintains confidentiality. Knowledge of standard office equipment. Excellent oral and written communication skills. Demonstrated organizational skills. Good clerical and data entry skills. Sound judgment in handling confidential or sensitive issues and material. Ability to multi-task.
WORKING CONDITIONS/PHYSICAL DEMANDS
Ability to maintain punctual attendance consistent with ADA, FMLA, and other federal, state, and local standards. Constant sitting, talking, hearing, near vision, and midrange vision. Occasional lifting up to 25 lbs. Frequent depth perception, visual accommodation, and color vision. Occasional standing, walking, twisting, reaching, feeling, and field of vision. Must be able to sit and type for long periods of time. Must be able to use the telephone for long periods of time.
