Job Description

Position Summary The Office & Administrative Assistant provides dependable administrative and coordination support across the Network. Working under the direction of the Training & Program Coordinator, this position receives, organizes, and completes assignments that support training coordination, program activities, event planning and execution, and day-to-day office operations. The role helps keep timelines, records, communications, materials, and logistics organized so Network staff can advance strategic priorities and deliver high-quality experiences for participants, partners, volunteers, and community members. The successful candidate will be organized, responsive, detail-oriented, and comfortable shifting among priorities in a small, collaborative nonprofit environment. This position requires discretion, compassion, sound judgment, and a commitment to the Network's suicide prevention mission. Key Responsibilities Administrative & Office Support Serve as a central administrative resource for the Network and complete assignments prioritized by the supervisor. Manage routine correspondence, meeting preparation, document formatting, data entry, filing, copying, mailing, and supply coordination. Maintain organized electronic and physical records, templates, contact lists, calendars, and shared files. Prepare agendas, meeting packets, notes, reports, presentations, sign-in materials, and other internal or external documents. Monitor assigned deadlines and follow up with staff, vendors, volunteers, partners, or participants as directed. Answer or appropriately route routine inquiries while providing courteous, professional service. Position Description | Office & Administrative Assistant Training & Program Coordination Support Assist with scheduling trainings, reserving facilities, preparing registration materials, communicating with participants, and confirming trainers and partners. Prepare, assemble, transport, and inventory training supplies, participant materials, certificates, evaluations, and resource packets. Maintain accurate attendance, registration, evaluation, and program records and support timely data entry and reporting. Assist with post-training follow-up, including evaluations, certificates, invoices, reimbursements, and participant communications. Support grant-funded program activities and documentation in accordance with supervisor direction and applicable requirements. Event Planning & Coordination Support Support event workplans, timelines, checklists, registrations, vendor coordination, volunteer communications, participant materials, and event-day logistics. Assist with sponsor, donor, exhibitor, and community-partner records, correspondence, acknowledgments, and recognition materials. Prepare and organize signage, name badges, resource-table materials, supply bins, packets, and other event materials. Provide on-site support before, during, and after events, including setup, registration, volunteer check-in, troubleshooting, breakdown, and inventory. Communications & Community Support Draft and proofread routine emails, letters, social media copy, flyers, forms, and other materials for supervisor review. Maintain professional and compassionate communication with participants, survivors, trainers, volunteers, donors, and community partners. Represent the Network professionally at trainings, events, meetings, and community activities when assigned. Team & Organizational Support Participate in staff meetings, planning sessions, and collaborative projects. Help improve administrative systems, templates, checklists, and workflows. Maintain confidentiality and handle sensitive information with care and discretion. Assist with other reasonable duties as assigned to support the Network's priorities and mission. Qualifications Required High school diploma or equivalent; relevant college coursework, certificate, or associate degree is welcomed. At least two years of administrative, office, program, event, customer-service, or related experience. Strong organizational skills and demonstrated attention to detail. Ability to manage multiple assignments, meet deadlines, and ask timely questions when priorities or instructions are unclear. Clear, professional written and verbal communication skills. Proficiency with Microsoft Office and willingness to learn registration, database, and project-management systems. Ability to work independently, accept direction and feedback, and collaborate effectively in a small-team environment. Position Description | Office & Administrative Assistant Ability to maintain confidentiality and interact compassionately with individuals affected by suicide, grief, or mental health challenges. Preferred Experience in a nonprofit, public health, behavioral health, education, training, or community-service setting. Experience supporting trainings, conferences, fundraising events, or volunteer activities. Experience with databases, event-registration systems, donor-management tools, Canva, or similar platforms. Work Environment & Special Conditions Work is primarily performed in an office and event environment, with regular local travel as assigned; reliable transportation is required. Some evenings, weekends, or extended hours may be required for trainings, meetings, and events. The role may require lifting and transporting boxes or event materials weighing up to 25-30 pounds, with or without reasonable accommodation. Because the Network is a small, collaborative organization, responsibilities may shift as priorities and community needs evolve.
