Its new facility offers state-of-the-art legal technology and law practice management for total justice. Role Overview Jefferson Law Center is looking to add an Administrative Assistant to their busy law firm. The Administrative Assistant will assist the attorneys and paralegals with many day to day tasks, including, but not limited to, the key responsibilities below: Key Responsibilities Managing firm calendar and scheduling events such as client meetings, expert witness meetings, and depositions. Monitoring and maintaining inventory of office supplies and necessities, placing and tracking orders on a regular basis. Ensuring that office equipment (i.e., printers, computers, phones) are functioning properly and coordinating maintenance/repairs when necessary. Serving as the point-person handling registrations for office events, such as conferences, webinars, galas, and dinners. Completing new client intakes and presenting them to attorneys during regular office meetings. Coordinating with expert witnesses to ensure that all documents necessary for their work are easily accessible for them. Obtaining and updating expert witness information, tax documents, fee schedules, and other important documents. Keeping track of bills and invoices in the office, ensuring that all are paid in a timely manner. Creating agendas for regular office meetings, updating firm website and social media pages, and sorting incoming mail. Qualifications High school diploma or equivalent; an Associate's or Bachelor's degree is a plus. Prior experience in an Office Assistant or Administrative Assistant role is preferred but not required. Successful candidates must be able to communicate with clients, attorneys, and court staff in a mature and professional manner. Prior customer service experience is a plus. Exceptional organizational skills, time management skills, and attention to detail. The ability to multitask and manage multiple deadlines in a fast-paced environment. Familiarity with Michigan courts and the legal field is a plus, but is not required. Proficiency in Microsoft Office and other legal software. Experience with Clio or other case management programs is a plus. Must be able to maintain confidentiality and handle sensitive medical and personal information with discretion. We are conveniently located in the heart of the "Nautical Mile" in beautiful St. Clair Shores. Our facilities are state-of-the-art in a one-of-a-kind office building.
