Job Description

Overview We are seeking a Part-Time detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing various administrative tasks. This position requires excellent communication skills, a strong ability to multitask, and proficiency in office software. The administrative Assistant will be the first point of contact for visitors and clients, making professionalism and customer service essential. Duties Answer phones and monitor voicemail to direct calls and messages to appropriate personnel and handle basic inquiries. Prepare payments of all accounts payable, including paper checks and EFT payments using online accounts. Enter data from all purchase orders including bills, invoices and credit card charges, maintaining the filing of all purchase orders and receipts. Be responsible for creating/mailing all monthly invoices including resident rent, UPCAP, DHHS, UPHP invoices. Utilize QuickBooks for basic accounting tasks as required, including invoicing and expense tracking. Be responsible for creating and maintaining customers and vendors in QuickBooks. Process vendor checks bi-weekly and as needed. Record and monitor incoming ACH deposits. Receipt all incoming payments, record them in QuickBooks and prepare deposits on an as-needed basis. Additional duties assigned by the Executive Director and SHSS Board of Directors. Skills Proficient in data entry with attention to detail to minimize errors. Excellent organizational skills to manage multiple tasks efficiently. Effective phone etiquette for clear communication. Familiarity with office management practices to support daily operations effectively. Experience with QuickBooks is a plus but not mandatory; willingness to learn is essential. Proficient in Google Workspace applications (Docs, Sheets, Drive) for collaborative work environments. Education High school diploma required. Preference given to those candidates with accounting and/or QuickBooks experience or training.
